OhioGuidestone connects individuals with the resources needed to achieve lifelong success, providing community counseling, substance use disorder treatment, workforce development training, early childhood mental health services, psychiatric care and more.
OhioGuidestone is seeking an intake specialist that could be remote after 30 to 90 days of in-office training. The Intake Specialist works under the supervision of the Intake Supervisor and is responsible for entering referral data in the electronic health record (EHR) and explaining services that OhioGuidestone provides to potential clients and referral sources for the Centrral Ohio area.

Essential Functions:

  • Provides Intake Services for OhioGuidestone and the OhioRise program.
  • Confirms insurance information for individuals seeking services with OhioGuidestone.
  • Have a working knowledge of all OhioGuidestone programs and services to ensure effective communication to potential clients and/or referral sources.
  • Ensure clients are oriented to the agency in an empathetic, professional and efficient manner while complying with all state and federal regulations.
  • Facilitate referrals and linkages to appropriate external and internal services and providers and
  • coordinate care, as needed, for the curation of client treatment.
  • Maintain exceptional customer service to all internal and external personnel.
  • Answer incoming calls to receive referrals or route the call to the appropriate personnel or
  • department to respond to the matter.
  • Manage the documentation requirements of the intake process within the required time frames and ensuring that all aspects of intake documentation meet or exceed state and federal regulations.
  • Maintain confidentiality as required by state and federal regulations.
  • Attach referral documentation to the EHR and in accordance with agency policy and state and federal regulations.
  • Collaborate and consult with Finance Department and Benefit Eligibility Specialists to ensure clean claims for all services billed after the intake process is complete.
  • Perform other duties as deemed necessary including, but not limited to, supporting the larger Intake department and agency when volume is high or staff is low.
  • Utilize IT system and software programs in accordance with agency policy.
  • Exercise problem-solving and conflict resolution skills when handling complaints; refer to appropriate personnel, as needed.
  • Organize and plan work for maximum efficiency and effectiveness.
  • Maintain regular and reliable attendance and follow all agency policies.
  • May be involved in the planning, organization and implementation of special events or department specific projects or seasonal program changes.
  • Demonstrate positive leadership, promote an inclusive work environment and present the Agency in the most positive light with all internal and external contacts.
  • Exhibit positivity, flexibility and a willingness to take on new responsibilities as requested or required.

Education & Experience:

  • High School Diploma or GED is required. An Associate's Degree in a related field is preferred.
  • Experience working with children, youth and families; experience working in a medical office is preferred.
  • Demonstrate a current knowledge of legal requirements regarding the handling of PHI.
  • Ability to learn and utilize the agency's EHR and other electronic tools effectively and efficiently within 90 days of hire.

  • Some physical activity is required to process mail, store office supplies, etc. Lifting over 30 lbs. is not required.
  • English reading and writing skills are required.
  • Effective interpersonal skills; able to speak effectively with individuals and/or groups of people.
  • Ability to provide customer service in a professional and courteous fashion.
  • Ability to demonstrate exceptional teamwork and collaboration skills
  • Ability to maintain confidentiality is required.
  • Ability to customarily and regularly exercise discretion and good professional judgment.
  • Computer competency and office skills required. Experience with Microsoft products and basis database usage essential.
  • Strong organizational skills; able to handle multiple priorities with strict attention to detail and perform work independently.
  • Possess good problem solving and process development skills.
  • Possess a valid Ohio Driver's License with a safe driving record and valid insurance.
  • Successfully meet all pre-employment drug screen, physical exam and background requirements.
