Responsibilities

Responsible for all scheduling management, transfer of care, report generation and review, process improvement, patient satisfaction and clinical efficiencies. Coordinates the efforts between surgeons, ASC/hospital administration, referring providers and staff, while tracking the process of the program and identifying areas that require attention. Collaborates with ASC and practice operations leadership team to effectively manage OR block time, resource alignment and optimization for OOMC practice surgeons. Promotes cross department partnership within the medical practice and ASCs to improve efficiencies, workflows and understanding of the priorities for Surgical Services.

Participates with the leadership team, medical staff, and clinical staff in decision-making. Is an active member of the Operations Leadership Team, promoting interdepartmental teamwork. Maintains effective working relationships and communication with members of the medical staff, other supporting departments, leadership team, and surgical facilities leadership and administrative staff. Remains current on all the procedures and products available along with the best practice process in order to achieve best outcomes. Participation in meetings focused on operational strategic planning, program development, quality improvement, cost efficiencies, proper utilization of the systems/resources available, and patient satisfaction. Participation with interviewing, hiring, and guiding new employees; planning, assigning, and directing work for the Surgical Services employees; appraising employee performance; rewarding and performance management of employees; addressing complaints, resolving issues and concerns; making sure the surgical services team’s responsibilities are current and of quality. Manages the operation of Surgical Services by assisting Finance with preparation of annual budgets; evaluates budget variances regularly. Ensures that surgical schedules are adequately maintained to provide quality and continuity of care. Responsible for aligning the scheduling team resources depending on the needs of each provider and/or location. Approving paid time off requests and approving hours worked for payroll purposes. Manages the process in collecting patient financial responsibility for all elective, premium services and self-pay patients according to best practice. Answers incoming calls and emails and responds to inquiry in a timely manner or directs to appropriate personnel. Documents and records all phone calls, fax submissions, incoming mail, and patient interactions that require the assistance of personnel or other department for communication purposes. Qualifications 5 years of supervisory, healthcare operational experience in a patient centric environment Able to set goals and objectives, develop realistic action plans and alternative solutions Experience synthesizing complex/diverse information; collecting, researching data, and designing workflows and procedures Ability to develop workable implementation plans and communicate change effectively Process improvement, optimization, systems background/experience Track record of promoting and improving quality while meeting and increasing productivity Experience managing a team, building positive team spirit, build morale Ability to travel to OOMC practice locations and ASCs as needed.

Excellent verbal and written communication and team building skills to ensure effective interaction with diverse internal and external stakeholders.
