Title: Human Resources Coordinator
Company/Location: Omnicom Health Group
Hybrid working: 3 days in the Omnicom office at SE1 London, and 2 days remote working
Overview:
The Human Resources Coordinator will provide HR Coordination services for employees & contractors/freelancers for the UK-based Omnicom Health Group (OHG) companies. This role will partner with all functions of the broader HR team (TA and HRBPs) to timely complete all assigned tasks.
Responsibilities include, but not limited to:
HRIS Data entry
- Add bonus amounts on employee field
- Action merit/salary increase or other compensation changes
- Pull, analyze, and provide various reports from HRIS system
Payroll
- Responsible for the monthly payroll cycle
- Collate variable monthly payroll data
- Submit Agency payroll on payroll platform ensuring no data errors
- Liaise with Agency Finance teams on payroll data
- Download pre and post payroll reports
- Manage ad-hoc payroll audits
Freelancers/Contractors
- IR35 Freelancer compliance
- Draft initial freelance agreements
- Draft freelance extension agreements
- Manage onboarding & offboarding process for freelancers
- Monitor mandatory training compliance for freelancers/contractors
Immigration
- Manage Migrant activity UK Agencies ensuring compliance in the operational process
- First point of contact for all immigration/visa related queries for new hires
- Keep Agency migrant trackers up to date
- Liaise with OMC Immigration external counsel for visa sponsorship activity
- Responsible for migrant compliance in line with law guidance and Omnicom practices
- Keep the UK OHG migrant policy up to date
Health & Safety (H&S)
- Ensure & Safety compliance in UK Agencies
- Manage employee risk assessment process
- Manage requests for office equipment related to H&S
- Keep employee risk assessment forms up to date
- Set up new hires on Workrite
- Oversee completion of mandatory H&S training for new hires
- Keep the UK OHG migrant policy up to date
Ad- hoc HR Coordination
- Update internal recruitment trackers
- Manage requisitions on iCIMS for permanent vacancies and freelance engagements
- Update Agency employee various data trackers
- Employee data reporting & data analysis as assigned
Qualifications and Experience:
- At least 3 years of experience in a HR coordination role in a fast-paced, collaborative working environment with a focus on operations.
- Prior experience in payroll and managing freelancer activity will be advantageous.
- Ability to multi-task and handle various requests with accuracy and proficiency.
- Experience of data handling with strong attention to detail.
- Ability to project manage and deliver task output within required deadlines.
- High degree of confidentiality.
- Strong verbal, written and customer service communication skills.
- Fluent in English language – verbal and written
- Collaborative approach with a ‘can do’ attitude.
- Interest in learning company policy and audit practices.
- Proficiency in Microsoft Office Suite, intermediate or advance word/excel user.
- Experience of various HR tools and systems - i.e. SuccessFactors and Culture Amp is preferred, but not required.
- Interest in learning company policy and employment law.
- Bachelor’s degree or equivalent experience.
