Job Description
This position is responsible for a wide range of reception duties and administrative tasks as part of the Facilities function, whilst providing a courteous and professional reception service at all times. Creating a welcoming environment for internal and external stakeholders while maintaining a smooth and efficient operation.
Key Responsibilities
- Greeting visitors and employees and overview sign-in procedure. Attend to their requests in a timely manner and refer them to the appropriate person or resource.
- Maintaining the reception area to look and run professionally.
- Effectively coordinate the building badges and security access.
- Respond to internal and external telephone inquiries in a timely and professional manner.
- Distribute mailing, incoming calls, and any other incoming correspondence in a confidential manner.
- Work with the Assistant Facilities manager to troubleshoot any office issues such as locker, bike parking, and building faults.
- Work with the Assistant Facilities Manager manager to evaluate supplier performance.
- Manage office occupancy and meeting rooms via the relevant software tools.
- Manage the sorting and delivery of post.
- Arrange domestic and international couriers.
- Book taxis and manage taxi log.
- Adhere to health & safety requirements through maintaining a safe and clean working environment.
Qualifications
- Previous experience working in an office environment is advantageous.
- Proactive at highlighting issues, resolving day to day problems, and providing support to others.
- Excellent telephone and written communication skills.
- Proven organisation and coordination skills.
- Excellent internal and external customer liaison skills.
- Computer literacy; ideally proficient using Microsoft Office.
- Ability to work on own initiative with minimal supervision.
- Ability to work in a fast-paced, multi-cultural and changing environment.
- Excellent service orientation with a positive, can-do attitude.
- Excellent English communication skills, both written and verbal.
