OhioGuidestone is seeking a detail oriented Program Assistant with the ability to provide operational and administrative support to the Executive Vice President and Chief Clinical Officer and the VP of Performance Optimization.

 

Essential Functions:

  • Responsible for providing operational and administrative support to the Executive Vice President and Chief Clinical Officer and the VP of Performance Optimization in an organized and professional manner.
  • Communicate by video call, phone, email and letter in a professional manner, and be a trusted resource to agency employees.
  • Track and monitor status of multiple projects.
  • Receive, sort, analyze, and summarize material for the preparation of reports and presentations.
  • Assemble and submit documents into external portals.
  • Format and proofread documents, such as agency procedures, prior to publication.
  • Schedule meetings, distribute materials related to meetings, and take minutes.
  • Select and download medical records in preparation for record reviews.
  • Maintain regular and reliable attendance.
  • May be involved in the planning, organization and implementation of special events or department specific projects or seasonal program changes.
  • In times of need, employees may be asked to complete related duties other than those indicated above.

Education & Experience:

  • High School diploma or GED required; Associate’s degree in social sciences, healthcare management, or a related field preferred.
  • 3 years of experience in office management or project management, preferably in a large healthcare setting.
  • Familiarity with quality assurance/quality control and process improvement methods (e.g., Lean, Six Sigma, Kaizen) with a strong drive for creative problem-solving.

  • Ability to foster interpersonal connection via video call, as this is a remote position.
  • Ability to lead with influence and perform across a highly matrixed organization.
  • Strong proofreading skills and ability to communicate professionally in written format.
  • High degree of cultural sensitivity.
  • Demonstrated computer proficiency: Microsoft 365, including SharePoint, Outlook, Excel or Power Point). Experience with SharePoint, Access, Power BI, Project and OneNote preferred.
  • Must have English reading and writing skills
  • Effective interpersonal skills; able to speak effectively with individuals and/or groups of people
  • Ability to customarily and regularly exercise discretion and good professional judgment
  • Strong organizational skills; able to handle multiple priorities with strict attention to detail and perform work independently.
  • Ability to maintain confidentiality required.
  • Ability to maintain relevant, timely documentation as required.
  • Work is generally performed at a desk but could involve some lifting of office supplies or files. 
  • Ability to access campus buildings and work locations which may include facilities with steps, multiple levels, and may require walking, standing and lifting.
  • Possess a valid Ohio Driver’s License with a safe driving record and valid insurance
  • Successfully meet pre-employment drug screen, physical exam and tuberculosis test requirements
  • Successfully meet all pre-employment background requirements.
