What are the responsibilities and job description for the Orthopedic DME Clinical Coordinator position at Orthopedic Staffing Services?
Position Summary
This position is 50%(part-time) to 100%(full-time). The DME Clinical Coordinator oversees the daily program operations for their assigned site(s), including inventory tracking and analysis, brace fitting, documentation management, and charge entry. They are responsible for providing superior customer service and onsite orthopedic bracing and supply program management. This position will also be responsible for fitting orthopedic bracing and supplies and educating patients about the product's usage. They will be responsible for gathering, tracking, and organizing the necessary paperwork to facilitate insurance billing of their assigned site(s).
Position Responsibilities
- Oversees the education of the physicians and staff on the orthopedic bracing and supply program and acts as a resource for product options. Provides education and instruction to providers and other medical staff in the use of the equipment and any special applications.
- Utilizes and helps to manage orthotic bracing systems as applicable to support daily operations of the assigned site(s).
- Establishes and monitors inventory par levels at assigned site(s). Responsible for the introduction of new products into inventory. Tracks all DMEPOS dispensed daily including costs. Develops and analyzes inventory reports. Creates purchase orders and maintains inventory accuracy for the assigned site(s).
- In coordination with the billing office, obtains pre-authorization for Worker’s Compensation patients and any other commercial payors as needed. Collects patient co-insurances, deductibles, and cash pays as applicable.
- Coordinates with the appropriate departments to gather and maintain tracking data on all claim denials and claims requiring further information.
- Provides outstanding patient service follow-up in accordance with policies, procedures, and management expectations.
- Prepares daily, weekly, and monthly reports for management review. Analyses reports and data for trends and patterns. Suggests areas for improvement including processes and procedures.
- Perform other duties as assigned.
Physical Requirements
- Performing the duties of this job regularly involves sitting, standing; walking; hearing/listening repetitive hand movement; grasping including forceful grasping with one or both hands; reaching above and below shoulder level; lifting and carrying up to 50 lbs.; bending/stooping and kneeling/crouching; vision requirements include close vision with the ability to adjust focus and color code.
Education Requirements
- Minimum high school diploma or equivalent required. Bachelor’s degree in kinesiology or sports medicine is strongly preferred.
Experience Requirements
Must be proficient with computer programs including web browser/internet search, MS Outlook, Word, Excel, and PowerPoint capabilities. Technical competence includes the ability to learn new software and systems to manage multiple tasks.
- Must possess knowledge of orthopedic bracing and supply products as well as the applicable procedures for utilization.
- Effective interpersonal and written and verbal communication skills.
- Excellent telephone skills.
- Valid driver’s license.
- Candidate must be able to work with minimal supervision.
- Patience and understanding are a must.
