Internship
Description of specific duties in a typical workday for this position:
- Support onboarding processes (set up new hire Welcome Gifts, notify TIG of new hire desk locations, ensure all required paperwork to be filled out for new employee/garage access badges, and serve as main point of contact for all new hire inquiries)
- Support HCM with specific Administrative tasks (Emailing gift card codes, creating templates for Length of Service Award and Lightning Award templates)
- Maintain overall upkeep of general office areas (front desk, kitchens, conference rooms, lounge areas) and notify appropriate personnel of service requests
- Assist executives with administrative tasks when required.
- Answer phones and route all calls to appropriate parties, as well as relay messages as needed
- Serve as the first point of contact for guests - greet visitors in a professional manner, offer beverages, make sure all guests check-in, and their receivers are notified upon arrival, and issue temp badges in accordance with Security's badge policy
- Handle all incoming mail, ensuring packages are appropriately distributed to their addressees. Handle mail was also forwarded from DC. Additionally, assist employees in need of shipping labels and ensure there is always an adequate amount of shipping envelopes
- Support all office and building needs (submitting maintenance requests when necessary)
- Conference Room support includes maintenance, booking rooms for employees as requested, and ensuring all conference rooms look presentable
- Support all remote OST offices
- Maintain stock levels of office/kitchen supplies, including ordering of special supplies upon employee requests and approvals. Stock all kitchens on the 10th floor, as well as copy supply rooms
- Act as travel coordinator for all OST employees, following the submission of required Travel Request Forms and manager approvals
- Assist accounting/finance by making sure all company credit card purchases have associating requisitions (consisting of proof of approvals and invoices)
- Assisting in maintaining building security (ensuring all employees badge-in at all designated entrances)
- Assist with the badging system by creating badges and taking photos for new hires as well as for new hires who attended the virtual meetings with HCM
- Assist with Fingerprint cards by mailing them out upon request by the Security Office
- Achieve customer service score of 85% or more excellent.

Position Requirements:
- Bachelors or Associate degree

Experience with Microsoft Office Suite
- Professional phone etiquette
- Ability to multi-task
- Excellent customer service skills
- Perform data analysis of current office supplies expenses in order to reduce future costs
- Ability to work independently and good organization skills to balance and prioritize work, and multitask
