What are the responsibilities and job description for the Appeal Coordinator position at Our Sunday Visitor?
Coordinate communication, as well as the order process for OSV’s Customer Appeals. This position will work as the liaison between the Diocese’s, parishes, and OSV Personnel to ensure each collection and/or order flows through our facility smoothly and all deadlines are met.
Essential Job Functions (*=Non-essential tasks):
- Work with a high level of teamwork to coordinate all work with other members of the Appeal Team
- Ability to take ownership of work to meet customer deadlines and verify orders are processed in defined metrics to maintain a high level of customer satisfaction and retention
- Develop and maintain a good relationship with Graphic Design, Sales, Transportation, Production, other departments and members of the management team
- Receive and make friendly and professional customer calls
- Coordinate conference calls and track action items/changes from each call
- Ability to write professional emails
- Verify all communication with internal and external customers is taken care of in a timely manner and follow up is complete
- Organize and manage the workflow of orders
- Take, write up, and process all types of orders in Advantage
- Create quotes and timelines for customers
- Work with and upload customer files
- Set-up and change images in In-Design
- Maintain a high level of quality and first time run rate by verifying orders are correct
- Look for ways to continue to streamline and improve all processes. This may be attending or leading Kaizen events.
- Use Filemaker and/or other systems to enter Appeal information
- Use CRM to enter customer notes, opportunities, and cases
- Must be able to maintain confidentiality to pricing information
- Other duties as assigned
Requirements:
Experience:
- One year of customer service experience is required
- One year of data entry experience is required
- Proficient with Word, Excel, and Outlook
Education:
- High School Diploma or equivalent is required
Skills and Abilities:
- Excellent verbal and written communication skills
- Ability to accurately enter orders
- Organized and detailed
- Team Player
- Self -starter
- Must be able to sit at computer for extensive length of time
- Extensive repetitiveness of entering data is required for this position
Working Environment:
- Incumbent will work in an office environment
