Responsibilities and Duties:

  1. First Line of Contact with Customers, Vendors and Visitors:
    • Receiving and greeting clients, guests, and visitors, fostering a positive and welcoming environment.
    • Provides visitors with directions or accompanies them to their destination.
    • Maintain a clean and organized front reception area.
    • Enforces access compliance utilizing check in kiosk documentation and notification system.
  2. Office Support:
    • Retrieves PO Box mail, sorts and distributes incoming mail and deliveries.
    • Manages postage meter and prepares outgoing mail, courier, and UPS pickups.
    • Maintains Associate directory and mailboxes.
    • Conference room management: Handle reservations, set-ups, catering arrangements, and maintenance of conference room appearance.
    • Assist with email management of additional shared inboxes.
    • Office supply procurement.
    • Ensure the office is organized, stocked and fully functional at all times.
    • Perform additional administrative support duties as necessary, managing tasks independently and demonstrating accountability and reliability in all responsibilities.

Qualifications:

  • High school diploma or equivalent is required.
  • Proficiency in Outlook.
  • 1-2 years of administrative/hospitality experience preferably in the corporate setting.
  • Must be willing to learn new software applications.
  • Knack for hospitality, customer-service oriented attitude.
  • Strong communication skills, attention to detail, and organizational skills.
  • Positive attitude with an eagerness to learn and help out.
  • Comfortable working independently. 
  • Professional and friendly demeanor.
  • Other requirements: Must be able to satisfactorily pass a criminal background check and drug screen.
  • Physical demands: This role involves frequent movement throughout the office space to ensure organization and restocking levels are maintained.
