What are the responsibilities and job description for the Warehouse Manager position at Palmer Todd Inc?
Essential Job Functions:
- Organize the warehouse. This is an ongoing process. Go through old materials and get direction from management about disposal of old or unused materials. Make sure all containers are visibly so contents can easily be identified.
- Receiving:
Receive all incoming materials. Open all boxes and check for concealed damage within 24 hours receipt at Palmer Todd. Make sure there are no scratches or defects in finish. If there is a question about the product or the condition it was received, get with the sales associate.
Log all incoming boxes on the log, after checking the materials of the purchase orders and sales orders, receive them in the computer and route paperwork accordingly.
Mark all boxes properly with the Job Name, Location, Product and Quantity inside the box. Mark location of product on map of warehouse and staple the map to the back of the sales order. Keep the sales orders in the “Will Call” book.
Make sure to note any items that will not be received and pulled from inventory on the purchase orders. Notify the sales associate once the order is complete or make a copy of the sales order and direct to the sales associate.
All receiving is done through the back door.
- Deliveries:
Coordinate deliveries with sales associate or client as required. Confirm address, phone, contact person and site conditions prior to making delivery. Make sure all necessary paperwork is in order. Be sure to get a signature on the “white” copy of the sales order to return to Palmer Todd. If a question arises at the job site at the time of the delivery, call the sales associate for clarification. If the sales associate is not available, then make a decision based on the best interest of the client and PTI. Do not leave any materials on site without getting a signature from client or contact.
- Damaged Goods:
If product arrives visibly damaged, make note on shipping documents immediately or refuse the shipment. Notify the sales associate immediately. If there is concealed damage, notify accounting for shipping claim to be filed. Notify sales associate immediately so they can contact the manufacturer.
- RGA’S:
The sales associate should fill out Palmer Todd’s “Return Material Authorization” form. The form must be approved by Christi or Accounting. The sales associate must receive an RGA or Call Tag from the manufacturer. You will receive the approved Return Material Authorization form with the RGA or Call Tag from accounting. Proceed with shipping the material back to the manufacturer.
- Shipping:
Make sure all outgoing shipments are packaged properly to ensure safe shipment. When filling out the shipping documents, please use a reference number – cust. name, employee name, rga or call tag #, po# or so# for proper accounting.
Assist with large shipments on site. Change light bulbs in showroom and offices. Change a/c filters. Keep building grounds clean and debris free. Make sure weeds are pulled in landscaped areas and grass is mowed during the summer season. Make sure leaves are picked up regularly. Make Sam’s or Home Depot runs as required. Empty trash cans daily. Make sure warehouse is swept and tidy at the end of each day. Make sure A/C in warehouse is turned back at the end of the day and secure warehouse doors before leaving. Double check that forklift crate is closed and locked along with the dumpster before leaving.
