Position Title: Payroll & Bookkeeping Specialist
Agency: PALS, LLC.
Pay Grade: $30 Per/Hour
Location: Whittier, CA
Reporting Supervisor: CEO
Supervises: N/A
Work Hours: Monday through Friday- Part Time
ROLE AND RESPONSIBILITY:
Bookkeeping:
1. Maintain detailed general ledgers in accordance with the Generally
Accepted Accounting Principles via Accounting Software or Excel
Spreadsheet.
2. Maintain financial statements and customized reports as they become requested by the CEO of the company or authorized representative via Accounting
Software or Excel Spreadsheets.
3. Accounts Payable: Make payments to vendors online; maintain records of vendor payments; Prepare annual 1099 filings when appropriate.
4. Accounts Receivable: Record revenue as directed by IRS Guidelines; Record of all transactions, all revenue and expense transactions on Excel Spreadsheet
Document or via Accounting Software.
5. Bank Reconciliation on Excel Spreadsheet Document or via Accounting Software.
6. Assist in keeping filing systems remotely on authorized company platforms or software.
7. Other: to be discussed with the CEO and agreed upon prior to execution of tasks.
Tax Filing Support:
8. Provide reports and data as requested for the completion of annual tax returns. Provide financial documentation as requested by the CEO or authorized representative.
9. Work with the CEO or corresponding authorized representative(s) on pending matters.
Payroll, Mileage and Reimbursements:
10. Review timesheets. Verify staff has signed timesheets.
11. Follow up with Staff and HR regarding outstanding timesheet matters.
12. Run Mileage or review and verification via authorized representative.
Maintain mileage tracking log sheet with CEO and authorized administrative staff.
13. Collect, verify all requested reimbursements for payroll processing.
14. Enter payroll data into ADP Workforce Now or Payroll Software
15. Coordinate with Human Resources to verify paid sick time, request supporting documentation as needed.
16. Seek CEO authorization to process final payroll.
17. Reconcile Payroll and Payroll Check Registers.
Employee Benefit Management (CalSavers, Kaiser, Blueshield):
18. Run/ Verify CalSavers Report for updates on contributions from Staff.
19. Enter data to CalSavers, get approval from CEO to process on time.
20. Process CalSavers per Pay Period guidelines.
21. Responsible for open enrollment season - verify staff qualifies to sign up for Kaiser(April) or Blue Shield(December) as it becomes available.
22. Make sure Kaiser and Blue Shield rates are adjusted as each year it is renewed or changes in employment status.
23. Coordinate with Human Resources to send out open Enrollment Memos
24. Office support and provide needed documentation to Legal Counsel.
25. Help Legal Counsel with urgent projects not included in normal everyday
Bookkeeping tasks.
26. Assist Human Resources with Unemployment Claims, filling out the documentation, verifying earnings prior to approval.
27. Assist Human Resources in completing verification of employment requests, send them Human Resources for final approval.
MINIMUM QUALIFICATIONS
28. Bachelor’s Degree in Accounting, Business or a Related Field.
29. 3-5 Years Relevant Work Experience.
30. Working Knowledge of Basic Accounting Principles and Payroll Practices.
31. High Numerical Aptitude.
32. Bilingual- Proficient Spanish & English.
33. Proficient Communication Skills.
34. Proficient Computer Software Skills, including but not limited to WORD. EXCEL, QuickBooks.
35. Proficient Writing Skills.
Job Type: Part-time
Pay: $30.00 - $32.00 per hour
