Description
Job Summary:
The Receptionist is responsible for providing secretarial, clerical and administrative support in
order to ensure that municipal services are provided in an effective and efficient manner.
Responsibilities:
- Receive, direct and relay telephone messages and fax messages.
- Pick up and deliver mail.
- Open and date stamp all general correspondence.
- Maintain an adequate inventory of office supplies, including kitchen supplies and placing supply orders as needed.
- Coordinate the repair and maintenance of office equipment.
- Greet, assist and/or direct visitors and general public.
- Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.).
- Assists with clerical related duties such as photocopying, faxing and filing.
- Stocks paper and other photo copying supplies around the office.
- Re-stocks and soda and coffee machines, performing routine cleaning and maintenance as required.
- Maintaining front desk area and ensuring it is clean, orderly and presentable.
- Able to comply with the policies and procedures outlined in the Company Handbook.
- Perform other duties as assigned.
Supervisory Responsibilities
This position has no supervisory responsibilities.
Qualifications
Requirements:
- High School Diploma or Equivalent
- Customer Service
- Multiple phone lines
- Familiar with use of fax machine, computer, copy machine
- Proficient in relevant computer software i.e., Microsoft Office, Excel, Outlook
- 6 months to 1 year of Front Desk/ Receptionist experience
- Experience in the mortgage industry preferred
- Ability to deliver effective results
- Reliable transportation, valid drivers license and current automotive insurance
- Sound judgment and decision-making skills
- Excellent service skills
- Timely communication and response times according to department standards
Physical/Sensory Requirements:
- Must be able to lift 25 pounds at a time
- Bend, stoop and stretch as needed
- Prolonged periods of sitting, standing and or ambulating (Employee has some control over the length of time)
- Prolonged use of computers, telephone, and other standard office equipment which includes reading, writing, listening or speaking
- Fluency in English language (written, oral, spoken); fluency in a second language desirable
