The primary responsibility of the Office Manager is to organize, manage and coordinate office activities; and to ensure the provision of appropriate administrative and clerical support to the Program Director and the staff of the ISS Programs located on Oahu, Maui, and Kauai. This position is under the direct supervision of the Program Director and supervises the Administrative Assistants for the Program.
What you will be doing:
- Develops office procedures based on current and best business practices that are relevant to and compatible with the values and beliefs of human services. Assists the Program Director and the ISS Supervisory Team in providing oversight to the Fiscal and HR operations of the program and provides leadership to administrative staff and assumes all the responsibilities of a supervisor for the staff reporting directly to this position.
- Assumes responsibility for the efficient and well-coordinated functioning of the ISS Offices located on Oahu, Maui, and Kauai. Manages and maintains adequate office supplies and equipment; manages the repair of equipment as necessary; and oversees inventory. Ensures adequate information and materials flow to all staff and all ISS program sites.
- Serves as the Lead Credentialing Specialist and performs all the tasks related to that function; establishes and maintains effective working relationships and communication with funders; and produces related reports, letters, tables, and other documents as required.
- Monitors and oversees timely production and processing of purchase orders, reimbursements, payments, and deposits. Oversees petty cash reconciliations and deposits.
- Reviews and formats reports, procedures and correspondence for appropriate quality and presentation. Composes letters, emails, notices, and publications based on acquired knowledge of program philosophy and operations. Tracks and reports on program activity and prepare reports to funders as directed.
- Ensures all Supervisory and Administrative Teams follow standardized communications and operations procedures and provides program orientation and training for them as required.
- Anticipates and trouble shoots any problems that may arise with the administrative support.
Work Hours: Generally, 8:00 - 4:30 Monday through Friday, evenings and weekends as required. Workdays regularly in excess of eight hours. This is an exempt (management) position and as such, requires availability outside of normal working hours when needed. Available by cellular telephone 24 hours a day, 7 days a week for crisis response. Frequent travel required to neighbor-islands.
Education/ Training
- High School diploma, or equivalent required.
- Bachelor’s Degree in a related field, preferred.
Experience
- Three (3) years’ experience in an administrative position required.
- One (l) year supervisory experience, required.
