Position Summary:
The Marketing Events Specialist supports the mission, strategy and goals of BayCoast Bank and its affiliates with a focus on event planning, partnerships, and promotions. This position drives the planning, execution, and communication of events and provides exceptional service to our community, partners, leadership, and employees.
Responsibilities:
- Leads all event processes for new and established sponsorships, marketing partnership opportunities, and employee events. Responsible for event planning, on-brand creativity, and final execution. Communicates and is a liaison between departments; ensuring all have clear and updated information for upcoming events. Event planning needs range in size from a small lunch meeting, to two hundred attendees at community event or tradeshow, and even up to one thousand attendees for employee events. Leverages internal and external resources as needed. Provides clear communication to all parties and across the organization before, during, and after all events.
- Selects, orders, and manages catering, venues, inventory of promotional items, and event supplies for all brands. Schedules deliveries to appropriate parties. Conducts research on ideas for new venues, promotional products, and employee gifts.
- Builds relationships with local Chamber of Commerce members and schedules ribbon cuttings, open houses, expos, networking, and other events. Maintains current contact reference list for all Chambers, memberships, and partnerships that BayCoast Bank and affiliates are a member of.
- Partners with the Facilities team to deliver items to event locations, offices, and to assist in setting up marketing display locations when needed.
- Responsible for scheduling check presentation opportunities with photographer and check to present. Collaborates with the Creative Services team on press releases and social media exposure related to community events and partnerships
- Continues to develop our group of preferred vendors. Compares pricing and negotiates when appropriate without sacrificing quality of products. Utilizes DocuSign for appropriate parties to sign and submit invoices to ensure timely payments.
- Represents the organization in a positive way by volunteering to assist community organizations.
- Adheres to the organization’s confidentiality policy and safeguards customer information.
Knowledge/Skills/Experience Requirements:
An Associate’s or Bachelor’s degree is preferred in an area of marketing. 3 years’ experience with event planning. Excellent communication and interpersonal skills. Strong negotiating skills, attention to detail, and problem-solving skills. Knowledge of social media platforms to promote appropriate community events. Highly organized with project management skills and ability to work independently, staying on task, managing priorities, workflow, and following up as needed. Must have excellent written and verbal communication skills and be able to communicate effectively with people at all levels and from various backgrounds. Comfort level with technology applications such as Microsoft Word, Excel, Outlook, PowerPoint, Email platforms, and other software programs. This position requires a person who is very adaptable, enjoys a fast-paced environment, able to multi-task, and meet deadlines. Good judgment with the ability to make timely and sound decisions. Creative, flexible, and an innovative team player.
