Description
PeaceHealth is seeking a Supervisor, Executive Support for a Full Time, 1.00 FTE, Day position. This position is responsible for administrative coordination and office oversight of the executive suite. This includes but is not limited to: providing leadership for assigned staff; personnel management, resource management and fiscal accountability. Performs administrative duties for executive management. Responsibilities may include screening calls, making travel, and meeting arrangements, preparing reports and financial data, training and supervising other support staff, and customer relations.
Must be fully vaccinated for COVID-19 including 2 doses of a 2-dose series or 1 dose of a 1-dose series plus 14 days beyond the final dose prior to start date.
DETAILS OF THE POSITION:
- Manages overall daily operations to provide executive support. Provides daily support for executive staff and executive assistants.
- Manages the selection, training, development, and performance evaluation/management for assigned caregivers.
- Facilitates workflow for accurate and successful completion of assignments/projects by computer applications that include work processing, spreadsheet, database, and presentations.
- Composes, produces, and facilitates timely distribution of various correspondences with a high degree of accuracy, efficiency, and professionalism.
- Manages appointment calendars, coordinates meetings, reviews mail, monitors budget and responds as appropriate.
- Oversees and guides the design, development, implementation and maintenance of executive office systems and services.
- Coordinates and leads team meetings.
- Supports planning, coordination, management, and alignment for Oregon network senior leadership meetings, forums, and planning/work retreats.
- Performs other duties as assigned.
WHAT YOU BRING:
EDUCATION
- Bachelor’s degree preferred.
- Business school preferred.
EXPERIENCE/TRAINING:
- Minimum of six years of progressively responsible administrative support experience in a professional office.
- Project coordination experience.
- Previous leadership training and experience strongly preferred.
LICENSE/CERTIFICATION:
- Notary Public Licensure desired but not required.
OTHER SKILLS:
- Strong computer and Internet research skills.
- Ability to be flexible.
- Ability to work well with and maintain positive working relationships with all levels of internal management and staff, as well as outside clients and vendors.
- Proficient in using Microsoft Office applications, including Word, Excel and Outlook required.
- Must be able to manage conflict effectively and professionally.
- Excellent verbal and written communication skills.
- Excellent time management and organizational skills with an emphasis on meeting time sensitive deadlines.
