What You'll Do

The Executive Assistant works directly with the CEO and Executive Leadership Team to ensure administrative duties and projects within the organization are deployed and on schedule. This includes interdepartmental coordination, assisting in the creation of timelines and workflows. This is a result driven cross functional role. This position reports directly to the President and CEO.

The Day-to-Day

  • Providing administrative assistance, and preparing communications on the executive’s behalf
  • Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, miscellaneous tasks and errands
  • Deploy consistent and ad-hoc reporting thru various BI tools
  • Maintaining comprehensive and accurate records
  • Performing minor accounting duties such as expense reports and budgeting
  • Organizing corporate retreats and high profile meeting logistics
  • Taking meeting minutes and task assigning
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Assist HR department with Internal Team Culture initiatives
  • Assist marketing department with client events or photo shoots as needed
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
  • Assist in managing projects in various areas of planning, implementing, establishing KPI’s
  • Conduct market research on specific inquiries as needed
  • Ensure all important tasks are assigned with clarity and follow up on progress
  • Assist in ensuring the timely completion of projects
  • Occasional travel required

What We're Looking For

  • Bachelor’s degree or 3-5 years of related experience; service industry experience is strongly preferred but not required
  • Strong understanding of reporting, budget analysis, and creating KPIs
  • Knowledge of Power BI and Salesforce a plus
  • Excel and Power Point proficiency required
  • Familiarity with Operations-heavy companies
  • Must be comfortable working in a fast paced & changing environment
  • Demonstrated ability to be flexible and have a “Make it Happen” attitude
  • Strong verbal, written communication, and presentation skills
  • Excellent decision-making and problem-solving skills
  • Excellent organizational and project management skills
  • Ability to work well independently as well as in groups
