We are looking for a reliable Project Coordinator / Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator might also include light bookkeeping. The ideal candidate will be competent in prioritizing and working with little supervision. They will be highly self-motivated and trustworthy. The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth. This candidate understands the work will be performed for multiple companies, and be able to multi-task accordingly. This is a task fluid job. We have a small office and will require jumping in to assist in multiple tasks to get the job done.
Responsibilities
- Serve as the point person for office manager duties including: maintenance, supplies, equipment rental, bills, travel arrangements, material pick-ups and deliveries
- Assist with running payroll
- Schedule meetings and appointments
- Maintain the office condition and arrange necessary repairs
- Work as direct support with Project Managers
- Provide general support to visitors
- Assist in the onboarding process for new hires
- Other job duties to be discussed (as needed)
Skills
- Proven experience as an Office manager, Front office manager or Administrative assistant
- Ability to work with and maintain a budget for job costs
- Excellent organization skills
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Hands on experience with office machines (e.g. fax machines and printers)
- Familiarity with email scheduling tools, like Google calendar and Microsoft Office
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus Experience in Quickbooks

Pay: $30,000.00 - $45,000.00 per year
