Billing and Payroll Specialist

We are looking for a detail-oriented, reliable Billing and Payroll Sprecialist to assist the Controller as needed with accounts receivable, payroll and other administrative duties as needed. This position will potentially correspond with customers regarding payments, and will interact with walk in customers as needed, so excellent customer service is a must. You should be able to multitask, deal with customer concerns in a professional manner, and assist the accounting and sales department with the preparation of reports as needed. Serve as point of contact for employees’ payroll and general administrative inquiries.

Position Type: Full-Time

Position Hours: 8:00 am to 5:00 pm

Overtime Required: At Times

Salary: $20-$25

Reports to: Controller

Requirements:

· Associate degree in accounting or related field or 5 years of relevant experience preferred.

· Knowledge of accounting software, NetSuite a plus.

· Knowledge of Paycom a plus.

· Strong communication, organizational and time-management skills.

· Ability to work efficiently under pressure.

· Proficient in Microsoft Office and excellent computer skills a must.

· Strong attention to detail.

· Typing of 60 WPM or greater.

· Ability to lift 20 pounds.

Office Manager Responsibilities:

· Creating and issuing invoices to customers or insurance and commercial AIA billings

· AIA billing experience preferred

· Processing credit memos.

· Preparing account statements for customers.

· Following up on outstanding payments and answering customer queries

· Monitoring and processing all payments and preparing monthly billing reports.

· Managing account balances and resolving inconsistencies.

· Updating accounting records with issued invoices, processed payments, new balances, and customer contact information.

· Reroof/Repair contract review

· Enter customers into accounting software

· Enter job budgets

· Job profitability reports

· Job expense profitability review

· Data entry of customer payments in our systems

· Mechanic’s lien waivers file and release

· Enter shop inventory activity monthly

· Certified payroll reports

· Weekly employee payroll data management

· Organize payroll documents and prep for data entry

· Time tracking corrections and reports

· Employee onboarding and orientation

· Maintain employee files

· Process incoming/outgoing mail

· Maintaining CRM job status

· Answer phone calls on a rotating or back up basis

· Filing, typing, copying, or scanning as needed

· Assist other members of the team as necessary for completion of the accounting cycle

· Assist the executive officers of the company as needed

· Other duties as assigned

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
