Position Overview:
The Receptionist handles client-facing duties and performs various administrative/office management tasks. This position requires an understanding of company and field office operating procedures to support the field manager and financial professionals in their sales and marketing operations. The ideal candidate has excellent communication and multitasking skills, a positive attitude and a strong work ethic.
Position Expectations:
Responsibilities
- Greets clients in a friendly and professional manner as soon as they arrive and connects them with the appropriate party.
- Operates telephone console for all incoming phone calls and routes accordingly.
- Sorts and distributes incoming mail and meters outgoing mail with adherence to compliance regulations. Confirms that outgoing mail is picked up/dropped off at noon and at the end of the day. Processes overnight package labels and pickup.
- Distributes incoming faxes.
- Orders office and kitchen supplies, copier and fax equipment, and ensures that office is not
- short on supplies.
- Keeps supply room, kitchen and common areas neat and orderly.
- Performs routine administrative duties using Microsoft Office.
- Assists with the preparation of recruiting kits and financial professional kits.
- Files securities documents.
- Copies and distributes policies as they are received.
- Performs other duties as required.
- Complies with all company and site policies and procedures.
Required Skills
- Excellent customer service skills and professional phone manner.
- Proficient in Microsoft Office Suite and Outlook.
- Ability to learn basic insurance and securities terminology needed to complete job duties.
- Strong oral and written communication skills.
- Ability to work with others in a collaborative team environment.
- Willingness to take on additional responsibilities as needed
Required Experience
- One year of relevant work experience as a Receptionist or Administrative Assistant.
Education/Licenses/Professional Designations
- High School diploma or equivalent education.
