What are the responsibilities and job description for the Manager, Stock Administration position at Penumbra?
The Manager, Stock Administration is responsible for managing the day-to-day activities of administering equity plans, including all aspects of recordkeeping, reporting, and reconciliation.
Ensures the accuracy and integrity of all equity data; provides high-quality customer service to Penumbra employees.
Specific Duties and Responsibilities:
• Manage and ensure proper maintenance of the Equity Edge database and Client Resource Center integrity and accuracy of recordkeeping of equity data.
• Manage general to complex daily equity maintenance tasks, including processing new equity awards, reviewing equity transactions, terminations, cancellations, repurchases, etc. on a timely basis for all employees and other equity holders.
• Work directly with Payroll partners to ensure accurate and timely tax withholding and reporting.
• Manage and suggest process improvements as it relates to the Stock Equity Administration, desktop procedures, calendars, to ensure all information remains current and consistent; manage and maintain documentation of equity-related processes.
• Track Incentive Stock Options, including disqualifying dispositions.
• Draft employee communications; interface with HR on outbound messages.
• Manage the education support for equity programs and create educational materials for plan participants.
• Maintain stock process documentation for internal compliance.
• Respond to employee inquiries and coordinate with internal teams and vendors as appropriate to resolve issues in a timely manner.
• Ensure SOX and internal controls compliance.
• Identify, recommend, and implement process improvements to increase efficiency and accuracy of reporting.
• Select, manage, train, and develop staff. Establish objectives and assignments and provide ongoing feedback through performance reviews and development plans.
• Adhere to the Company’s Quality Management System (QMS) as well as domestic and global quality system regulations, standards, and procedures.
• Understand relevant security, privacy and compliance principles and adhere to the regulations, standards, and procedures that are applicable to the Company.
• Ensure other members of the department follow the QMS, regulations, standards, and procedures.
• Perform other work-related duties as assigned.
Position Qualifications:
• Bachelor's degree in Accounting/Finance or related field with 7 years of experience in private or public company stock administration, or equivalent combination of education
and experience
• Knowledge of Global Equity Plans or willingness to learn.
• Excellent oral, written, and interpersonal communication skills with strong customer service orientation.
• Ability to work in a fast-paced environment; detail oriented; accurate; ability to identify and implement process improvements.
• Strong proficiency with MS Word, Excel, and PowerPoint
• Strong oral, written and interpersonal skills to effectively communicate with cross-functional teams and employees at all levels within the organization.
• Experience working with different types of Equity Plans in both private and public companies is preferred
• Experience working with a third-party recordkeeping system a plus.
• CEP in process a plus alternatively, willingness to obtain Advanced Equity Compensation Accounting Certificate (AECA).
• Knowledge of and experience working with Equity Edge Online or other third-party recordkeeping system is a nice to have
• Experience with UltiPro or other payroll system desired
• Experience in sales compensation desired
Working Conditions:
• General office, production, and cleanroom environments
• Willingness and ability to work on site.
• May have business travel from 5-10%
• Potential exposure to blood-borne pathogens
• Requires some lifting and moving of up to 25 pounds
• Must be able to move between buildings and floors.
• Must be able to remain stationary and use a computer or other standard office equipment, such as a printer or copy machine, for an extensive period of time each day.
• Must be able to read, prepare emails, and produce documents and spreadsheets.
• Must be able to move within the office and access file cabinets or supplies, as needed.
• Must be able to communicate and exchange accurate information with employees at all levels on a daily basis.
Annual Base Salary Range: $142,000 – $180,000
