Position Summary:

The Administration Secretary is responsible for providing administrative support to senior management and coordinating office activities to ensure efficient operations within the organization. This role involves managing correspondence, scheduling meetings, maintaining office supplies, and assisting with other administrative tasks as needed.

Duties:

  • Administrative Support: Provide administrative support to senior management, including drafting correspondence, preparing reports, and managing calendars.
  • Communication: Manage incoming and outgoing communications, including phone calls, emails, and mail. Screen and direct inquiries to the appropriate person or department.
  • Scheduling: Coordinate meetings, appointments, and travel arrangements for senior management. Prepare meeting agendas, take minutes, and distribute relevant documents.
  • Office Management: Maintain office supplies inventory and place orders as needed. Ensure the smooth operation of office equipment and facilities.
  • Record Keeping: Maintain accurate records and files, both electronic and paper-based. Organize and archive documents in a systematic manner for easy retrieval.
  • Data Entry: Assist with data entry tasks, such as updating databases, processing forms, and generating reports.
  • Coordination: Liaise with internal departments and external stakeholders to coordinate activities and resolve administrative issues.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
  • Problem Solving: Proactively identify and address administrative challenges. Recommend solutions to improve efficiency and productivity.

Skills:

  • Proven experience as an administrative secretary, administrative assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and high level of accuracy.
  • Ability to maintain confidentiality and handle sensitive information.
  • Knowledge of office management procedures and basic accounting principles.
