Job Position Description:
The receptionist is responsible for intercepting and routes incoming calls, takes thorough messages, and provides basic information to callers in a courteous and professional manner. Greets visitors at the office entrance and directs them to the proper location.
Essential Duties: include the following. Other duties may be assigned
- Provide exceptional customer service as first point of customer contact, both in person and verbal.
- Operate a multi-line phone system.
- Answer all incoming calls in a prompt, polite, professional manner, transferring them to the appropriate person or department quickly, or operating the dealership paging system to call individuals to the phone.
- Minimizes the time callers are on hold and checks back with them frequently to ensure they wish to continue holding.
- Takes detailed messages when call cannot be completed including caller's name, telephone number, time of call, and information requested, and delivers to appropriate party in a timely manner.
- Screens incoming calls as requested by managers.
- Develop knowledge of basic dealership information in order to respond to callers who have general inquiries.
- Notify the IT department of any problems with the phone system.
- Perform clerical duties as assigned.
- Must be able to be trained and retain dealerships business operations system.
- Maintain a professional appearance and neat work area.
- Process cash, check, and credit card payments from customers.
- Reconciles bank deposit
- Prepares bank deposit report and sends to corporate for posting daily.
- Account for all incoming sales tax exempt forms.
- Organize all credit application forms and send them to corporate for processing.
- Sort and order all daily invoices for proper accounting and filing.
- Count currency to ensure accurate receipts.
- Copy and scan all necessary receipts for proper filing and reporting.
- Back-up Service Closer in the tasks of updating unpaid Cash and COD spreadsheet and Utilizing the UTA system for check authorizations.
- Adhere to and promote all existing health and safety policies in the workplace to reinforce the Hunter culture of a safe work environment
Requirements:
- High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
- Valid driver’s license and driving record that meets company insurability standards.
