What are the responsibilities and job description for the Leasing Administrator position at Phipps Houses?
Phipps Houses is one of the nation’s oldest and largest not-for-profit developer/owners of affordable housing. It is a multi-faceted real estate organization, involved in the development, finance, construction and asset management of new and rehabilitated multi-family housing for low to middle income New Yorkers. Through its subsidiary, Phipps Houses Services, Inc., it conducts residential and some commercial property management, and its tax-exempt affiliate, Phipps Neighborhoods, provides human services to its development communities.
Position Responsibilities:
- Track expiration dates, calculate, and prepare lease renewals, & packet
- Send out monthly lease renewals and reminders notices
- Ensure timely delivery and proper legal protocols are followed.
- Ensure executed lease renewals are submitted to residents and respective agencies.
- Provide assistances regarding lease renewal information to residents
- Process annual rent registration with regulatory agencies
- Maintain lease renewal records, and copies proof of mailing
- Complete and submit Section 8 rent increase requests
- Track status and follow up Section 8 cases
- Other duties as may be assigned by management
Requirements:
- Knowledge of DHCR rules, rent stabilized rules, polices and regulations
- Knowledge of HPD and other subsidy agencies
- Must be enthusiastic with strong customer service abilities and follow-up.
- Must be capable of multi-tasking and prioritizing work
- Detail oriented with strong follow-up skills
- Prior training in Fair Housing regulations preferred
- Experience working with Yardi preferred
- Must exhibit excellent verbal and written communication skills
- High School or GED required;
- Experience with lease renewals preferred
- Excellent Organizational skills, time management a plus
- Ability to work independently and as part of team.
- Initiative and responsibility to follow through
- Proficient with Excel ,Microsoft office, Word, and hellosign
- Monthly lease renewals and notices drop off to post office
- Bilingual Fluent in Spanish is required
