Title: Member Services Coordinator
Primary Responsibilities: Provides customer service and support of activities and projects for Partners clients
FLSA: This position is non-exempt from overtime compensation.
Essential job Functions:
Employee must be able to sit for extended periods of time during the course of a workday while communicating by voice and electronically.
Employee must be able to walk substantial distances to and between meetings and otherwise while carrying needed items or meeting supplies or other materials if they are able to attend a client meeting or conference as part of an onsite meetings team.
Employee must be able to travel by air and automobile to client meeting venues or otherwise in the execution of job responsibilities.
Employee must be able to learn and adhere to all company policies, procedures and rules.
Major Duties and Responsibilities:
Financial Administration
- Successfully completes daily deposits and charges for incoming client finances using provided instructions by operations.
- Performs quality control functions through financial checks and balances of teammates work.
- Responsible for posting payments to clients databases using instructions provided by client teams.
- Ensures correct tracking of payments by reviewing receipt logs and data entry.
Customer Service
- Professionally communicates with customers using a variety of means including: phone, fax and email.
- Responsible for answering all incoming calls for all clients on a multi-line system and providing positive customer service experiences by maintaining a friendly, helpful tone.
- Meets the needs of callers by listening to their questions and responding appropriately using provided resources.
- Politely greets office visitors and assists them as needed.
Office Support
- Assists with meeting pre and post planning for attendees, exhibitors and sponsors.
- Correctly processes and distributes mail, faxes, information, records and/or documents.
- Successfully processes and fulfills orders within Fulfillment House and works with client team to manage product inventory.
- Responsible for working with customers to maintain continuing education credits and certification/licensure renewals.
- Works cooperatively, with other team members in Member Services Department to ensure successful completion of client projects in a timely manner.
- Effectively manages time in order to complete required tasks by the agreed upon deadline.
- Professionally prepares and composes correspondence with customers and coworkers.
- Properly files records, correspondence, reports, and other documents as required and in accordance with established department procedures.
- Assists customers, account executives and managers in all aspects of association management as needed.
- Administers and coordinates projects on regular schedule and as directed by Member
Services Manager.
- Performs other duties as required.
Skills & Qualifications:
- Ability to independently initiate projects and activities. Ability to work independently and as part of a team
- High levels of dependability and strong time-management skills with the ability to simultaneously manage multiple projects and meet deadlines
- Knowledge of computers and Word, Excel, and Access
- Attentive to details
Relationships: The Member Services Coordinator directly reports to the Member
Services Department Manager.
Hours: Total of 40 hours per week, with at least a 1 hour lunch break
Monday – Thursday: 8:00 a.m. – 5:00 p.m.
Friday: 8:00 a.m. – 3:00 p.m.
Job Type: Full-time
Pay: $27,000.00 - $34,000.00 per year
