- Job Description: Performs billing, account payable and utilities management duties in a corporate setting facility, under the supervision and oversight of the Office Billing Manager. The AP Assistant/Utilities Manager is responsible for supporting functions of the Property Management billing department to ensure: timely bill entry and processing of utility and vendor/contractor bills, accuracy of outgoing vendor bills, onboarding and setup of utility accounts for newly managed or acquired properties, scheduling and coordination of utility meter upgrades, compliance of required vendor documentation, and verification of unit occupancy statuses and tenant expense reimbursements for unit-specific utility accounts. The AP Assistant/Utilities Manager position requires strong numerical proficiency, acute attention to detail and good organizational, communication, problem-solving and time-management skills. Prior Billing or Accounts Payable experience strongly encouraged and preferred.
- Responsibilities & Duties:
- Bill entry and processing of utility, vendor and contractor bills
- Performs data entry review and validation for bills input into the accounting system to ensure accuracy of final bill prior to payment. Primary responsibility will be the review, verification, approval and payment of outgoing utility bills entered into the billing system.
- Responsible for managing utility account onboarding for newly managed or acquired properties. AP Assistant/Utilities Manager will liaise with utility providers and will prepare and submit necessary paperwork to set up new electric, gas, and water accounts under utility Landlord Programs and/or Commercial Applications.
- Executes tenant reimbursements and expense recoveries for unit-specific utility bills. Performs verification of unit occupancy statuses to ensure unit-specific utility bills are only paid during tenant vacancy, charges tenants for utility bills received for occupied units, and communicates with tenants to transfer utility accounts under their name.
- Schedules and coordinates appointments for utility meter upgrades with utility providers
- Assists with retrieval, filing and maintenance of required vendor/contractor documentation in order to ensure compliance. AP Assistant/Utilities Manager will liaise and communicate with vendors and contractors to ensure receipt of W-9 forms and Certificate/Proof of Insurance (COI) documents. Specific duties will include tracking and follow-up communication with vendors and contractors for missing documents, as well as filing and maintenance of received vendor documentation.
