As Sales Assistant, you will be responsible for supporting sales efforts through a variety of tasks as needed on a day-to-day basis, including research, admin, file management, and assisting with pre-production and event production processes. More specifically, this role will be tasked with tracking relevant project details and documents, and following up on required materials related to pending projects.
To be successful in this role, you must be highly organized and able to work independently, so good time management and prioritization will be expected. Furthermore, on occasion, this role may necessitate a non-traditional work schedule.
Your role on our team
- Managing internal follow ups with other departments (eg. deadlines, payment receipt prior to shipment, etc) and flagging any possible issues before they arise
- Ensuring the smooth and timely transfer of information about confirmed sales to internal departments (accounting, production, operations)
- Assisting, reviewing and completing sales related documents (eg. NDAs, contract, RFP, client setup form, etc)
- Assisting with resource materials including pitch decks, supporting meeting materials, templates, etc.
- Keeping up to date records related to leads, accounts, contacts and opportunities in the CRM
- Scheduling client meetings
- Conducting recurring research on the entertainment industry and its competitive landscape
You are the person for this role if you fit the following criteria
- Proven success (2 years) in coordination, project management, sales or administrative role
- Highly organized, analytical, proactive, with the ability to manage multiple tasks simultaneously in a timely manner
- Flexible with the ability to navigate frequently changing priorities in a fast-paced and constantly changing environment
- Resourceful, self-motivation, forward planning, and exceptional problem-solving skills
- Fluent in English; ability to speak other languages (ie. Spanish) is an asset
- Exceptional verbal and written communication skills; personable, professional and persuasive, able to build rapport quickly
- Proven ability to prioritize, set goals and to measure progress accordingly
- Dedicated team player with collaborative spirit able to build relationships and resolve conflict, with a willingness to learn
Nice to have
- Previous knowledge of Live events and Tours industry
- Experience with CRM
- Experience with contracts (NDA, MSA, etc)
