What are the responsibilities and job description for the Payroll Specialist position at Precipart?

Precipart is looking for a Payroll Specialist who will be responsible for the full-cycle payroll for approximately 250 U.S. employees on a weekly and biweekly basis using ADP Workforce Now. We are interested in trustworthy candidates who can maintain a high level of confidentiality at all times and enjoy Interacting with all levels of employees in a positive, pleasant, clear, professional manner.

Position allows for a hybrid work schedule.

RESPONSIBILITIES:

  • Process weekly and biweekly payroll from start to finish.
  • Review and validate all electronic timecards for accuracy, approvals and follow up on unapproved or incomplete timecards.
  • Respond to employee inquiries timely and professionally.
  • Identify, research, and resolve payroll discrepancies within strict time constraints through independent analysis and evaluation, taking corrective action to avoid pay issues (i.e., reviewing timecards, work schedules, wage computation, audit payroll deductions, and other information).
  • Prepare and issue manual paychecks when necessary.
  • Key liaison with ADP to handle all payroll questions/inquiries/set-ups which includes but not limited to benefit contributions, vendor data feeds, time off policies, time and attendance etc.
  • Verify funds for stop payments are properly credited to accounts.
  • Perform year-end verification of W2s and 1095s.
  • Set up and monitor garnishments, tax levies and child support orders.
  • Manage and oversee all employee time off accruals.
  • Respond to employment verification requests and other income related inquiries from external agencies and government organizations.
  • Create, maintain, and distribute management reports/analysis both routine and ad hoc, when requested must be approved by Director, Accounting Services.
  • Process all employee changes including but not limited to new hires, terminations, salary adjustments, position changes, departmental changes, etc.
  • Work closely with Human Resources on all employee related items that effect payroll, e.g. proper coding, processing employee data, etc.
  • Oversee all payroll aspects related to the 401(k) Profit Sharing Plan. Ensure data with 401(k) recordkeeper are timely processed, verified, and aligned.
  • Conduct payroll audits (i.e., overtime, PTO, benefit deductions).
  • Maintain payroll records and adhere to government record retention requirements.
  • Ensure all benefit invoices are reconciled against vendor invoices and employee data and approved for payment.
  • Reconcile FSA/HSA deductions against payroll and ensure proper funding of contributions.
  • Work with Human Resources to coordinate proper paid or unpaid leaves of absence.
  • Assist Human Resources with unemployment claims and employment.
  • Responsible for conforming with the Company’s quality management system requirements, as well as contributing to its overall effectiveness, and the ultimate goals of customer satisfaction, product compliance and ethical practices/behavior.
  • Perform other job-related special projects as needed.
  • Assist Accounting and Human Resources with ongoing tasks.

POSITION REQUIREMENTS:

  • 2 years of relevant payroll experience
  • Must have experience using ADP Workforce Now payroll system to process payroll recently
  • Must maintain a high level of confidentiality and handling of sensitive information
  • Identifies and recommends updates to payroll processing procedures
  • Ensure compliance with all federal, state, and local payroll, wage, and hour laws
  • Experience processing payroll in a multistate environment; work with ADP to open/close states when necessary
  • Knowledge of payroll best practice, applicable payroll tax and benefit related laws and regulations
  • Adherence to internal controls and processes
  • Strong math, spreadsheet, and problem-solving skills
  • Ability to maintain a professional demeanor, strong work ethic, and dependable
  • Ability to work independently and within a team environment
  • Extremely organized, able to prioritize workload, and ability to work under strict time constraints
  • Attention to detail is critical
  • Strong written and verbal communication skills along with the ability to communicate with all levels throughout the company in a professional and courteous manner
  • Flexible and able to adapt to change
  • Self-starter with the ability to manage the workload independently
  • Microsoft Office 365 (Excel, Word, Outlook)
  • Accounting/Finance or HR background a plus
  • Spanish speaking a plus
