Neurosurgical Coordinator Job Description
Position Overview:
The Surgical Coordinator plays a critical role in organizing and coordinating surgical procedures and patient care. This individual is responsible for ensuring all aspects of surgery preparation are managed efficiently, from scheduling to communicating with patients, providers, and insurance companies. The ideal candidate will be a true patient advocate, have strong organizational skills, attention to detail, and the ability to provide excellent patient support throughout the surgical process.
Key Responsibilities:
Surgery Scheduling:
- Coordinate and schedule surgeries between the surgical team, hospitals, and surgery centers.
- Confirm surgery dates, times, and locations with patients, surgeons, and the operating facilities.
- Ensure all pre-operative requirements are completed, including medical clearances and pre-surgical testing.
Patient Coordination:
- Serve as the main point of contact for patients regarding their surgical procedures.
- Provide patients with pre- and post-operative instructions and answer any questions they may have.
- Obtain and verify insurance coverage and benefits, ensuring all necessary authorizations are completed.
- Help obtain pre-operative imaging if requested by the clinical team.
Insurance Authorization:
- Coordinate with insurance companies and authorizations team to obtain pre-authorization for surgical procedures.
- Ensure that all required documentation is submitted to the insurance company in a timely manner.
- Communicate with patients about any out-of-pocket costs or financial responsibilities.
Documentation Management:
- Maintain accurate and up-to-date patient records, ensuring that all necessary documentation is included in their charts before surgery.
- Manage the flow of paperwork between the surgical practice, hospital, and insurance providers.
- Track surgeries and submit reports to billing team.
Post-Operative Coordination:
- Coordinate post-operative follow-up appointments with the clinical nurse and ensure patients are aware of post-op care guidelines.
- Assist with scheduling any necessary physical therapy, rehabilitation services, and post operative imaging.
Team Collaboration:
- Work closely with surgeons, physician assistants, nurses, and other team members to ensure smooth surgical operations.
- Communicate regularly with the surgical team to ensure all logistics are in place for the procedure.
Compliance and Quality Assurance:
- Ensure that all surgeries are scheduled in compliance with practice policies and healthcare regulations.
- Follow up on surgical outcomes and patient satisfaction, assisting with quality improvement efforts.
Qualifications:
- High school diploma or equivalent required; bachelor’s degree preferred.
- Minimum of 2 years of experience in a healthcare setting, preferably in surgical coordination or scheduling.
- Familiarity with medical terminology, surgical procedures, and insurance processes.
- Strong organizational skills with the ability to multi-task and prioritize effectively.
- Excellent communication and interpersonal skills to work with patients, surgeons, and insurance providers.
- Proficiency in healthcare management software (e.g., EMR systems) and Microsoft Office Suite.
- Knowledge of HIPAA and healthcare compliance regulations.
Preferred Qualifications:
- Experience in a surgical or specialty medical practice. Neurosurgery and Orthopedic Spine experience is preferred.
- Experience with insurance authorizations and understanding of insurance benefits.
