Receptionist Responsibilities:
- Answer multiple phone lines professionally, directing caller to the appropriate person or department. Take messages when people are out of office or on another line. Responsible for getting message to individual.
- Meet and greet customers, answer questions, and take messages when necessary.
- Serve as cashier for service and parts departments. Responsible for calling in all COM checks, personal and business, for approval. Properly code checks for telecheck.
- Open, stamp, sort, and distribute all incoming mail. Process and stamp all outgoing mail. Responsible for sending department mail to other dealership locations.
- Order postage and Fed Ex boxes and labels. Responsible for keeping Fed Ex machine in working order. Send and receive Fed Ex packages, directing them to appropriate persons.
- Send and receive facsimile messages, directing to appropriate person.
- Maintain communications system with employees receiving calls or fax messages.
- Reconcile cash drawer daily.
- File invoices (daily and monthly), for Service and Parts Departments along with other filing and/or sorting assigned by Management.
- Perform other duties as required.
Receptionist Requirements:
Education
- A high school diploma and/or GED is required. Additional training in general office procedures is preferred.
Experience
- Minimum of one year of previous experience in the clerical field with multi-line telecommunications system is essential.
Licenses or Certificates
- A valid driver’s license is required and/or adequate transportation to and from work.
