Position Title: Operations & Tech Specialist Position Type: Regular Hiring Range: $25.24 to $29.01 per hour; commensurate with experience Pay Frequency: Hourly Position Purpose Operations & Tech Specialist is a strategic member of the operations team responsible for managing and supporting a broad operations portfolio for the Undergraduate Admission Office. The portfolio includes, but is not limited to CRM- Slate development and maintenance, data quality assurance, business practices and protocols management. The Operations & Tech Specialist will be a partner in setting and implementing strategic direction for electronic applicant records processing and workflows, data management, and technical solutions specializing in optimizing Slate- CRM. This role is critical to maintaining SCU’s Undergraduate Admissions commitment to offering an excellent applicant experience and competitive position through effective coordination of operations, systems and customer service operations. This position reports to the Director of Technical Operations in the Undergraduate Admission Office and will also join a talented and highly effective operations team within the Enrollment Management division. B. Essential Duties and Responsibilities Data Quality and Management (40%) Manage and oversee the successful uploading and processing prospects, inquiries, applications and other additional external data to our CRM-Slate Supports Slate-CRM reporting, application processing, application workflows and daily or weekly auditing to ensure data quality, system maintenance and management. Manages assigned projects and initiatives. Projects will include operational communication flow for applications processes, audit queries development and refinement, and report development. Admission Records Management, Quality Control and Customer Service (30%) Ability to manage and analyze large data sets to determine discrepancies in data. Supports data updates and record modifications to ensure data integrity. Creates and utilizes queries and effective business operations to research issues and bring resolutions to conflicting information in prospective or applicant records. Supports processing of documents, responding to phone calls, emails, etc. as needed to provide the highest level of customer support for our applicants and colleagues. Assists in development of Slate-CRM software administration, maintenance, enhancements and usage (30%) Learn and gain expertise in report writing, query development, email/text communication, workflows, portals, dashboards and optimization of newly released features in Slate and other potential platforms that will/can be used to support enrollment goals. Serve as a Slate-CRM administrator. Act as a resource for staff for day-to-day production problems. Resolve urgent and/or complex CRM issues and manage user expectations. Assist in testing and resolving system and integration issues between Slate and Workday or other platforms. Become an “expert” on all outreach, admission and enrollment processes to better understand the needs of the office, potential communication flows, CRM enhancements, and data integrations. C. Provides Work Direction Provides work direction to student employees. D. Other Duties Supports recruitment and outreach events as needed, including some evenings and weekends. Participated in the University community via committees, projects and events that help further along the mission and purpose of our office. Provides backup support to other admission office positions as needed. Other duties as assigned. E. Qualifications Knowledge Knowledge of admission operations and higher education is preferred Familiarity with and a willingness to learn technology and data driven systems. PC proficiency required. Working knowledge of Windows, including CRM- Slate, Workday, MS Word, Excel and Google Apps. Experience in CSS, HTML, Java, liquid markup, responsive web code, etc. is preferred. Self-motivated and able to work with minimal supervision. Demonstrated exceptional organizational skills and attention to detail. Demonstrated excellent written and interpersonal skills. Demonstrated ability for managing multiple tasks and projects simultaneously Strong analytical and problem solving skills. Ability to work and adapt in a face paced environment Ability to exercise sound judgment Ability to be comfortable with complexity and ambiguity. Willingness to learn and accept constructive feedback. Ability to work independently as well as with a team. Sensitivity toward people of diverse social, cultural and ethnic backgrounds. Willing to work some weekends and evenings. Willing to attend off-campus conferences and trainings.
