Position Summary
The Receptionist is responsible for maintaining the organization and cleanliness of the workspace and reception while they greet clients, receive calls, determine the nature of business and direct callers to the appropriate office personnel and if necessary, schedule/cancel appointments. Other key responsibilities include performing assigned clerical duties such as deposits to lockbox, typing, copying, and mail handling. Must maintain confidentiality of information and exercise discretion when providing information.
Essential Roles and Responsibilities
- Operate centralized telephone control panel, using a professional and friendly greeting.
- Take and forward messages and other communications to all staff, ensuring messages taken are complete and accurate.
- Keep up to date with Outlook calendar for meeting rooms and conference rooms.
- Manage coordination for onsite trainings (room setup, ordering food).
- Dispatch incoming and outgoing mail.
- Handles mailings.
- Receive and sign for deliveries.
- Receive and greet, assist, and direct all visitors, maintaining a professional demeanor.
- Ensures office supplies are available (monitor and order).
- Support the updating of spare IT devices.
- Support programs with uploading client documents to our electronic health record (EHR) system.
- Maintain EHR database for all referrals.
- Assist with reviewing the monthly credit card statement and receipts.
Essential Competencies
Computer Skills: Excellent computer skills and proficiency in Microsoft applications such as Word, Excel, and PowerPoint
Communication Skills: practices attentive and active listening; is aware of and uses body language effectively; able to write and speak clearly in a professional manner on a level appropriate for the intended recipient. Has the ability to deal with a diverse client base.
Time Management and Organizational Skills: Uses time efficiently and plans well; concentrates effort on important priorities while attending to a broad range of unrelated activities. Excellent Organizational skills.
Work Habits: Maintains punctuality/maintains attendance; manages time well; follows through dependably; able to be flexible and adaptable to change, cooperates with others.
Essential Qualifications
- Education
- High School Diploma or Associates Degree is preferred
- Experience: At least one year office experience preferred
- Clearances: State Police, FBI, and Child Abuse Clearances; CPSL Mandated Reporter-Recognizing and Reporting Child Abuse training per state regulations
