Prevent, Inc is looking for an HR Assistant to join the team! The HR Assistant performs a wide range of entry level HR and administrative duties to support the business office for a group of automotive dealerships.
What You’ll be Doing:
- Perform digital and physical file management for department
- Manage onboarding of new employees
- Enter new hires into ADP and other appropriate business systems
- Respond to entry level HR inquiries and direct employees to internal resources
- Make system entries for CA DMV pull program and communicate notifications received
- Serve as company administrator for KPA system used for safety training management
- Post daily mail and coordinate pickups for mail carrier services
- Greet guests upon arrival and direct/route to appropriate building areas
- Answer general phone calls for business office and route to appropriate personnel
- Route documents and follow up with employees and management as needed
- Prepare custom reports for management
- Maintain mail room and HR department office supplies
- Request and review background check requests
- Review and assist with department invoicing
- Coordinate drug screenings for new hires
- Conduct orientation and coordinate trainings with new hires
- Complete I-9 verifications and re-verifications in Everify system within ADP
- Submit initial reports of injury to worker’s compensation carrier
- Send and receive data for CA DMV pull program
- Send out template communications to new hires and existing employees as needed
- Post job advertisements as needed
- Assist with special department project as needed
- Perform other tasks and duties as requested by management
What You Need:
- Minimum of 1 year of experience working in a professional office environment
- Interest in learning/developing a career in HR or a related field
- Experience with MS Office 365 preferred – Word, Outlook, Excel, Teams
- Strong written and verbal communication skills
- Highly organized and accountable
- Strong task management and ability to follow up without prompting
