Description

 SUMMARY

The Administrative Support Specialist performs duties that support PreventEd’s school and community-based programs and services. This part-time position (10-20 hours/week) is under the immediate supervision of the Headquarters Manager and general supervision of the Deputy Executive Director. 

RESPONSIBILITIES

· Provide support for coalitions, youth and adult trainings, and community programs offered under the State Prevention Resource Center contract.

a. Assist with coalition registrations, renewals and PreventEd Coalition roster

b. Manage training logistics and support for community trainings – including evaluation data

c. Create monthly PRC stats reports and year-end reports

d. Make reservations and appointments

· Data Entry - enter data into databases from school and community presentations. 

· Support in other agency-wide responsibilities/departments such as Community Engagement and Marketing/Communication as requested.

· Assist with other PreventEd events/programs such as Speaker Series, SPIRIT and Hear Us.

· Provide assistance with other general office tasks such as checking phone messages, maintenance appointments and other requests. 

· Perform related duties as may be assigned by the Leadership Team.

Requirements

 SPECIALIZED KNOWLEDGE, EXPERIENCE AND TRAINING

· High school diploma or GED.

· Strong computer skills, mastery of Microsoft Office

· Some knowledge of the field of substance use disorder and/or substance use prevention is desired.

REASONING ABILITY

· Ability to define problems, collect data, establish facts and draw valid conclusions.

· Ability to deal with several abstract and concrete variables.

COMPUTER SKILLS

· E-mail, Microsoft Word and Excel, data entry.

WORK ENVIRONMENT

This position works primarily in an office setting at the PreventEd agency location with possible travel in the community. Must have a valid driver’s license and reliable transportation.

PHYSICAL DEMANDS AND ABILITIES

While performing the duties of this job, the employee is regularly required to communicate effectively. The physical requirements of this job include: sitting, standing, walking, and climbing stairs on a regular basis; lifting up to 25 lbs.; pulling and /or pushing on occasion.
