Job Summary:
We seek a dedicated and efficient Customer Service Representative to join our team. The primary responsibility of this role is to provide exceptional customer service by effectively managing customer orders, invoices, and related documentation. As a Customer Service Representative, you will be responsible for accurately entering customer orders into our ERP system, reviewing and processing relevant documents, entering vendor purchase orders for direct customer shipments, and ensuring the timely delivery of product certifications and other related documentation to customers and salespeople. The ideal candidate will have excellent communication skills, strong attention to detail, and a customer-focused mindset.
Key Responsibilities:
- Receive and process customer orders accurately and efficiently, entering them into the ERP system.
- Review and verify all customer orders, invoices, and shipment documentation to ensure accuracy and compliance.
- Enter vendor purchase orders for direct customer shipments, ensuring timely and accurate processing.
- Coordinate with various departments to resolve order discrepancies, product availability issues, or other customer concerns.
- Collaborate with the sales team to provide necessary support and assist in addressing customer inquiries and requests.
- Prepare and send product certifications and other relevant documentation to customers and salespeople as required.
- Maintain accurate and up-to-date records of customer interactions, transactions, and communications.
- Proactively identify opportunities to improve customer satisfaction and enhance the overall customer experience.
- Stay updated on product knowledge, company policies, and industry trends to address customer inquiries and provide appropriate solutions effectively.
- Adhere to company policies and procedures, including confidentiality and data protection guidelines.
- Assist in training and mentoring new customer service representatives when necessary.
- Provide feedback and suggestions for process improvements to enhance operational efficiency and customer service excellence.
Qualifications:
- High school diploma or equivalent; additional education or training in business administration or customer service is preferred.
- Proven experience in a customer service or order management role.
- Strong computer skills and proficiency in ERP systems, order management software, and Microsoft Office Suite.
- Excellent verbal and written communication skills, with the ability to convey information professionally and empathetically.
- Exceptional attention to detail and accuracy in data entry and document processing.
- Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment.
- Strong problem-solving and decision-making skills, with the ability to resolve customer issues effectively and efficiently.
- Strong interpersonal skills and positive relationships with customers, sales teams, and cross-functional departments.
- Knowledge of product certifications and documentation processes is a plus.
- Ability to adapt to changing priorities and handle stressful situations with patience and professionalism.

Physical Demands and Work Environment:
- The ideal candidate must be able to work in an office environment and a dynamic chemical manufacturing facility for eight (8) hours per shift.
- To effectively perform your job duties throughout your shift, it will be necessary for you to use a computer daily.
