About Your Work:
As the Medical Office Manager, you shall be responsible overall for the coordinated and efficient day to day operations of the front and back office. You must ensure staff scheduling is adequate to meet the physicians’ needs. You are also responsible for reporting any discrepancies in encounter forms and cash collections as required by the written policies and procedures.
You will focus on:
- Directly supervising front and back office operations
- Supervise and manage a team of medical office staff, providing guidance and support
- Implement and maintain systems and procedures to optimize office efficiency, including compliance with all IPA quality metrics and assessments
- Ensuring all patient registrations are handled in accordance with the written policies and procedures. Intercedes in handling patient registration problems when responsible personnel are unable to resolve the issue
- Manage patient scheduling, ensuring timely appointments and minimizing wait times
- Ensure staff scheduling is adequate to meet the physicians’ needs
- Assist Site Medical Director and Human Resources Department with recruitment of office personnel as well as onboarding and offboarding processes
- Responsible for staff on-the-job training
- Coordinating schedules of all health care providers
- Responsible for procurement of office supplies for Office, procurement of office equipment maintenance
- Maintain medical records, ensuring confidentiality and compliance with HIPAA regulations
- Customer service focused always looking to improve the patient experience
- Implementing, maintaining and updating office policies and procedures.
The Skills, Experience & Education You Bring
- EMR experience – Allscripts/Veradigm preferred
- Strong computer and documentation skills, excellent interpersonal communication and prior supervisory experience is a must
- Ability to establish constructive working relationships with all levels of employees in a staff of varied and diverse backgrounds
- High school diploma or GED
- Two or more years experience as a supervisor in a medical or business setting

This role will oversee four beautiful offices: Newport Beach, Costa Mesa, Irvine and Laguna Beach and will require regular travel to offices.
