We are looking for Secretary for the North Medical Surgical Department at St. Mary Medical Center.

Location: Apple Valley, CA

Work Schedule: On Call / Per Diem

Shift: 10-hour, Days

Job Summary:

Provides secretarial assistance and support to the department director and department employees.

Essential Functions:

  • Interacts with all hospital departments, and employees on behalf of department.
  • Prioritizes, prepares, and or composes correspondence and other documents.
  • Establishes, maintains, and revises records.
  • Processes incoming and outgoing mail daily sorts and prioritizes correspondence.
  • Assist in the care and maintenance of department equipment. Maintains inventory of office supply orders with approval as needed.
  • Answers and screens all incoming telephone calls.
  • Schedules and coordinates meetings and appointments.
  • Annual Evaluation:
  • Completes annual “Department Specific Focused Competencies”.
  • Demonstrates ongoing education and training to maintain job skills and knowledge (see caregiver education record).
  • Completes reorientation education requirements.
  • Completes Caregiver Health requirements.
  • Imaging Services:
  • Orders Patient exams accurately in MEDITECH for ultrasound, MRI, CT, Mammography, Nuclear Medicine, and all biopsy patients.
  • Prepares consents/forms as required for exams on imaging services patients. Orders lab work as required on outpatients.
  • Communicates with responsible parties to resolve ICD9 discrepancies, and Current Procedures Terminology (CPT) issues.
  • Delivers preliminary and permanent reports after radiologist's interpretation per department policy for inpatients. Faxes/telephones preliminary reports on all outpatients where applicable.
  • Prepares necessary paperwork and makes copies of X-rays for litigation. Prepares invoices and payments for all services as required.
  • Locates images and reports for Medical Staff.
  • Checks in MEDITECH and Synapse daily for a Taken/Dictated List. Completes the Dictated and Taken List daily in a timely matter.
  • Greets incoming patients and strives to put them at ease. Answers thoroughly questions regarding various procedures.
  • Maintains a high degree of accuracy and thoroughness in recording information. Inputs all patient data into the computer.
  • Completes Pre and Post calling and Documents pertinent information on 100% of Outpatients daily.
  • Verifies all outpatients’ orders with the Scheduling Module.

Skills:

  • Proficient in Microsoft Office, primarily Word and Excel.
  • Proficient in office practices, systems and equipment including comprehensive computer skills.

Minimum Position Requeirements:

Education: Coursework/Training Environmental Orientation within 30 days of hire.

Preferred Position Qualifications:

Experience: 2 years Experience in a business office setting.
