Purchasing and Fleet Assistant
Pasadena, TX
PSC Group is seeking a full-time, Purchasing and Fleet Assistant at our headquarters in Pasadena, TX! The primary responsibility of the Purchasing Assistant is to assist the Procurement and Fleet teams by performing data entry, providing administrative support, processing orders, and resolving discrepancies.
Schedule: Monday - Friday
Job Duties & Responsibilities:
- Works closely with Procurement and Fleet leadership, with open communication regarding needs and expectations and performs task related to scheduling, note taking and attending weekly meetings with key stakeholders.
- Processes purchasing order requests and/or requisitions for fuel cards, uniforms, PPE, office supplies, promotional items, etc.
- Reviews requests prior to ordering to ensure proper information and approvals are included.
- Support Procurement Specialists with needs assessment for specified procurement lines such as fleet and equipment through strategic planning with business line and site leadership.
- Communicates directly with Accounts Payable to resolve vendor bill issues and correct discrepancies that exist between purchase orders and invoices.
- Assists Procurement Specialists with data entry needs and procurement systems maintenance in ERP and purchasing software.
- Supports with data entry and processing for fleet related needs in purchasing and fleet software’s.
- Responsible for site purchases and company needs and resolves vendor/site complaints.
- Supports (or assists with) requests for quotations/proposals for department purchases, and supports with researching, evaluating, and making appropriate selection of commodity or service.
- Supports supplier communication to resolve transactional issues.
- Responsible for resolving invoice price and terms discrepancies to enable order processing.
- Assists with other administrative duties and projects as assigned.
