Position Summary
The Receptionist is the first point of contact for our company. The Receptionist will welcome guests and greet people who visit the business, coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Duties also include offering administrative support across the organization.
This is a customer service role requiring professional appearance and demeanor. The Receptionist may have to deal with emergencies in a timely and effective manner. This role may require working in shifts, so flexibility is a plus.
Ultimately, the Receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively and executes administrative tasks to the highest quality standards.
Essential Job Functions
- Greet and welcome guests upon arrival.
- Direct visitors to the appropriate person and office
- Answer, screen, and forward phone calls
- Ensure the reception area is tidy and presentable.
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Order front office supplies and keep inventory of stock.
- Make copies and assemble meeting materials
- Make coffee and ensure kitchen is kept clean
- Order lunches and assist with meeting set-up and clean-up
- Other duties as assigned
Education/Training
- High school degree or equivalent; additional certification in Office Management is a plus.
Experience
- Minimal as a Receptionist, Front Office Representative, or similar role
Skills, Knowledge, and Abilities
- Proficiency in Microsoft Office Suite
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to independently prioritize tasks.
- Customer service attitude
- Maintain confidential information.
