Office Manager
This individual will lead multiple facility activities for QUALYS Raleigh Office including but not limited to installation, inspections, repairs, troubleshooting, and daily maintenance of buildings, infrastructures, and facility equipment, and be responsible for interacting with buildings engineering team. You will be responsible for keeping buildings and facilities in good status to align with environmental, health, and safety policies.
Responsibilities
- The individual must be a self-starter and adaptive to a multi-tasking environment.
- Develops and maintains a safe and effective environment, serving as liaison to building occupants, identifying, and resolving current and potential maintenance problems.
- This individual is expected to supervise the Outsourced Teams (Janitorial, Maintenance, etc.) as part of daily routine.
- Supervises space allocations, moves, and facilities construction, modification, and maintenance.
- Reviews and approves facilities related contracts and vendor qualifications. Is responsible for local Security Access System, CCTV, alarms, and associated monitoring vendors.
- Supervises, implements, conducts, and trains staff in emergency evacuations and ensures compliance with building and fire regulations.
- Responds appropriately to emergency or urgent issues as they arise during and after hours (24/7).
- Works closely with Foster City HQ Teams on departmental projects.
- Creates and handles budgets, with line-item responsibilities.
- Engages in tenant improvement projects, often requiring getting in touch with support teams, and drives them from conception to completion.
- Oversee operation and management of routine and emergency services on a variety of critical systems such as generators, UPS, air handlers, building monitoring systems, etc.
- Manage relations with associated vendors, ensure high vendor standards, and find innovative and effective solutions.
- Maintain supplies and inventory in the kitchen and mail room with approved vendor as per company guidelines.
- Ongoing Communication with Property Manager for day-to-day Operations, Maintenance and Repairs, Notifications of Events and Road closures and any other relevant information.
- Submit any Maintenance tickets through Building Engines Software for any repairs or maintenance needed in the facilities and follow up on completion.
- Communication with Janitorial team and upkeep of ongoing needs.
- Ensure that all Visitors Log in Envoy and escort them at all times.
- Manage and update all Software applicable to Facilities: Brivo Badge Systems, Space IQ, Data Watch (building access), Bio start (Dual authentication software)
- Create and maintain inventory of office assets that do not include IT assets!
- Establish and communicate uniform procedures for day-to-day operations.
- Overseeing the Front Office Team providing support to organization Executive Teams based out of HQ.
- On behalf of the Global Facilities Team, this individual is accountable for managing the Internal/External audit interventions (US Operations) including but not limited to ISO, SOX Compliances. The individual is expected to be at the forefront managing the Audit requirements, resolve non-conformance, if any.
- Developing and managing project outline to modify building to meet Qualys's needs.
- Managing technicians of various trades and skills supporting facilities
- Interfacing and coordinating with various departments for project planning and problem solving.
- Performs other related duties and responsibilities, on occasion, as assigned.
- In addition to HQ Office, provide oversight to the Raleigh Office Operations as well. The individual acts as liaison to Business Operations working from Raleigh office.
Job Requirements:
- Bachelor's degree.
- 5 years of work experience
- Demonstrated proficiency in speaking, reading, writing, and understanding the English language.
- Good computer skills with demonstrated proficiency in EXCEL, WORD, Power Point, and MS Project
- Must have good people and communication skills, be able to multi-task and enjoy working in a fast-paced, fluid environment.
