General Description:
The Sales Administrator- Special Projects reports to the Director of Sales and Programs. The Sales Administrator will be responsible for a variety of departmental administrative duties including those related to quoting, sales order processing and customer furnished material tracking. This position requires detailed knowledge of company product, procedures and policies. The Sales Administrator interacts with people in all levels of the organization along with customer procurement representatives, therefore excellent communication skills are required. This position calls for an individual who is organized, easily able to multi-task, and detail oriented. Accuracy in data entry is a must.
Primary Responsibilities:
- Administration of customer accounts and records
- Administration of quotes
- Initiation and Maintenance of Sales Orders
- Initiation of contract review process
- Customer Furnished Material (CFM) tracking
- Miscellaneous departmental administrative duties
Education and Experience Requirements:
- Associate degree in related field or equivalent experience
- Highly proficient computer skills
- MS Office suite of software
- Experience with US Government contracting desirable
- Experience with US Government and other customer web portals desirable
- Preferred experience in the following areas:
- Customer service
- Clerical/administrative duties
Special Tasks and Focus Areas:
- Administration of customer accounts and records
- Initial entry and upkeep of customer data in the company manufacturing software system
- Track new customers (upon completion of third order request a credit review from Contracts)
- Administration of quotes
- Set-up electronic quote log annually
- Initiate quote files and route to appropriate person for pricing work-up
- Maintain quote logs
- Ensure quote files are maintained with all pertinent information
- Oversee history filing and quote file retention
- As requested, assist Program Managers with quotes
- Initiation and maintenance of Sales Orders
- Sales Order entry
- Request new item entry when required
- Verify we have correct revisions of documents
- As required, obtain documents from customers
- Attach appropriate documents to sales orders
- Route customer technical and quality documents to appropriate departments
- If required, initiate tooling request forms
- Listing Sheet publication
- Process Contract Change Requests (CCR)
- Initiation of contract review process
- Enter contract review durations
- Schedule contract review kick-off meetings
- As requested, hold contract review kick-off meetings
- Customer Furnished Material (CFM) tracking
- Initiate CFM purchase orders in Manufacturing Software System
- Maintain CFM purchase orders
- Track CFM from receipt to shipment
- As necessary, coordinate return of CFM
- Miscellaneous departmental administrative duties
- Log customer feedback
- Utilization of and administrative support for various customer portals relating to quotations and incoming orders
- Set-up and clean-up of meeting space for customer visits
- Organize annual mailing of holiday cards
- Provide assistance in the department as required
