The Accounts Payable Manager is responsible for managing a team of accounts payable supervisors, specialists, and support staff to ensure successful operational procedures are being adhered to, promote and educate employees on departmental procedures and ensure all accounts payable policies are followed.
Accounts Payable Manager Summary of Key Responsibilities
Responsibilities and essential job functions include, but are not limited to the following
- Ensures team strategies are aligned with department and company strategies
- Proposes changes to improve the efficiency and effectiveness of accounts payable processes, strategies, and tactics; communicates approved changes to direct reports.
- Establishes and communicates job responsibilities and performance expectations to direct reports to assure mutual understanding and desired results.
- Mentor, coach, train, and develop direct reports to assist in achieving enhanced performance and succession planning.
- Informs leadership of major team milestones, developments, and concerns.
- Analyzes work procedures with the objective of driving simplicity through best practices without sacrificing effectiveness.
- Provides daily direction, assistance, and communication to internal teams, agencies, and vendors.
- Assures direct reports complete assigned responsibilities in a timely and effective manner to provide the highest level of customer service for the business.
- Collaboration with numerous internal departments, domestic and international, along with outside logistics providers to recognize and overcome any difficulties throughout the invoicing process.
- Leads and organizes activities of the accounts payable function to ensure accurate and timely payment, processing, accurate accrual data and timely analysis of specific accounts.
- Establish group standards and KPIs for each AP function.
- Responsible for ensuring that service performance meets business expectations based on group standards and KPIs.
- Investigate, recommend, and lead systems upgrades.
Accounts Payable Manager Knowledge, Skills, and Abilities:
- Bachelor's degree in accounting or finance or equivalent education plus work experience
- 5 years of accounts payable experience in the transportation and logistics industry, both domestic and international
- 4 years working in a leadership/supervisory role
- Experience with McLeod, Cargowise and Shipamax a plus
- Strong leadership qualities
- Ability to anticipate, mediate and deescalate conflicts proactively
- Ability to develop leaders and cultivate a growth mindset in others
- Ability to lead a team of professional and support staff
- Ability to work together with internal and external contacts to link the responsibilities and actions of others and attain concord
- Utilization of available data to understand and improve processes, gain knowledge, drive results, and add value
- Knowledge of general accounting practices including account receivable, accounts payable and cash management
- Ability to effectively communicate with customers, staff and at all levels throughout the organization
- Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary internal and external customer service
- Strong knowledge transportation laws and bond filings
- In depth knowledge of transportation contracts, claims and over/short/damaged processes
- Ability to analyze state and federal regulations and implement updated policies and procedures
- Highly organized with ability to plan daily, weekly and monthly priorities
- Proficient computer skills including Microsoft Outlook, Word and Excel
- Ability to read, write, and speak English fluently; Spanish a plus
