Reports to: Directors.
Hours: Full Time, 40 hours/week; Exempt Status.
Compensation: $60,000 - $70,000/Year DOE.
Benefits: Healthcare, vision and dental, 20 days accrued PTO annually, retirement plan.

The Executive Assistant is responsible for a variety of jobs including office operations, financial and administrative functions for the agency and direct services supporting survivors of sexual violence.

Initial tasks for this position include but are not limited to:

Operations:
  • Oversee general office administration procedures and update them as needed.
  • Support an effective program staff; encourage staff development and education, and foster a climate which attracts, retains, and motivates a diverse staff.
  • Coordinate and manage all office functions, including the purchase and tracking of supplies, overseeing equipment maintenance and contracts, and general office security matters.
Administration:
  • Help to recruit employees and volunteers.
  • Oversee new employee orientation and training.
  • Ensure implementation and record keeping of agency policies regarding benefits.
  • Maintain records of employee PTO allocations and requests.
  • Support staff regarding office policies and procedures, such as use of telephones, and computers, parking allotments.
  • Implement HR policies and procedures based on Employee Handbook.
  • Oversee and maintain agency policies regarding worker’s compensation, liability insurance, potential disability issues, and employment assistant programs.
  • Answer office phone (in rotation with other staff) and direct calls to staff as needed, including crisis calls and counseling requests.
Financial:
  • Manage day to day site operations, including record keeping (Quickbooks online).
  • Act as accounts payable/accounts receivable for agency.
  • Work with agency to ensure financial reporting, tax and audit records.
  • Oversee the execution of payroll.
  • Manage RTS retirement plan.
Direct Services / Crisis Intervention:
  • Ad hoc support for survivors at in-person accompaniments.
  • Support survivors on the RTS crisis line when needed.
  • Participate in agency’s on call rotation; serving as a peer counselor and back up for the crisis line.
Manage other responsibilities as determined by agency and Program Directors.

Program-Specific Minimum Qualifications:
  • Very strong interpersonal and communication skills, oral and written, including ability to listen, clearly state needs, compose documents, etc.
  • Ability to develop and communicate a project plan effectively.
  • Ability to address crises and problem-solve effectively.
  • Ability to work under pressure, manage and meet deadlines.
  • Excellent organizational skills.
  • Ability to work independently, with minimal to moderate supervision, and multi-task in an evolving and rapidly changing environment.
  • Attention to detail and ability to enjoy redundant tasks.
  • Eagerness to learn from other staff (specifically from the accountant).
  • Skill in organizing and prioritizing tasks, with reliable and consistent work performance.
  • Ability to maintain accurate and updated records.
  • Strong leadership skills.
  • Ability to balance autonomy, accountability, and collaboration.
  • Interest in and commitment to developing or expanding trauma-focused counseling and advocacy skills.
  • Fluency in Spanish or non-English language strongly desired.
  • Bachelor’s degree or equivalent experience.

  • Valid California driver’s license, insurance, and reliable access to transportation.
