What are the responsibilities and job description for the Office Manager position at RARE Auction Group?

Reporting to the Principal Auctioneer, the Office Manager will support day-to-day office tasks such assisting the Executive Team with schedules, auction set- up, and deliverables etc. This role will also perform all aspects of advertising and marketing. By fulfilling this role, you will be a part of a fast-paced growing company.

Candidates should have exceptional time management skills, ability to manage with multiple accounts simultaneously, have exceptional communication skills, a commitment to achieving a high level of accuracy and attention to detail. An ideal team member will be able to work well independently, but also be flexible in taking orders for immediate and future needs. Taking ownership for results, having a sense of urgency, and taking the initiative to complete tasks in a fast-paced ever-changing environment will lead to success.

Key Qualifications for this Role:

  • Bachelor’s Degree or Equivalent Work Experience
  • 3 years as an Executive Assistant
  • Office Manager experience is preferred
  • Proficient in Microsoft Office Suite
  • Quick learner
  • Advertising/Graphics Background is a huge plus

Position Requirements:

  • You must have a valid driver’s license & pass background check.
  • Must supply references.
  • Advanced computer skills. Partake in computer assessment tests upon request.
  • Adept at organizing, multitasking, and prioritizing tasks.
  • Must be proficient in the following: spelling, basic math, organizational skills, scheduling, phone & email etiquette, concise and proper English, refilling copy paper, toner, ordering supplies, and processing mail.
  • Excellent at research – searching databases for clients/customers.
  • Effective communication skills to clients, owners, personnel.
  • Clients and potential clients are dealt with via mail, phone calls, emailing, texting, and meetings, therefore, effective verbal & written communication skills are a must to provide excellent customer service.
  • Proficient with money, collecting, clerking, online, & credit card.
  • Ability to maintain the office environment compliance with all applicable laws/regulations.
  • Scheduling of tests for renewing licenses of associates/members, maintaining and good judgment regarding confidentiality and respect for sensitive materials.
  • Contact customers occasionally to identify & discuss payment information.
  • Work closely with external media partners and agencies to promote sales to the appropriate audience.
  • Be fluent using social media advertising platforms.
  • Prepare sales tax returns occasionally.
  • Takes direction well.
  • Getting dirty on occasion is possible. Position has some physical demands on occasion.
  • Ability to lift at least 20 lbs.

Schedule:

  • Full-time
  • Monday through Friday
  • 8:00 AM – 5:00 PM
  • Late evenings and/or Saturdays on occasion as needed

Pay range of $18-20/Hour based on experience and is subject to increase based on performance.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: No less than 40 per week

  • Associate (Required)

  • Administrative: 3 years (Preferred)
