Office Coordinator
The Office Coordinator provides administrative support for the branch office. This position will assist with a wide variety of administrative tasks in addition to being available to answer questions and provide general administrative support to our agents. This position may also provide reception support to the front desk.
Essential Job Duties:
Agent Support: Responsible for supporting and providing exceptional customer service to all agents. This may include, but is not limited to, supporting many of the aspects of onboarding new agents in the office, inputting listings and assisting in the maintenance of the listing, being a first point of contact for our agents and ensuring that office events, reminders, changes to procedures, etc. are communicated to our agents.
Administrative: Responsible for a variety of administrative tasks. This may include but is not limited to, completion or review of sale and closing paperwork, auditing sales packets for necessary approvals, following up on missing or incorrect paperwork, ordering supplies, troubleshooting equipment issues, etc.
Reception: Responsible for providing a warm and welcoming environment for visitors and callers alike. This may include but is not limited to, answering phones and directing callers to the appropriate destination, checking and responding to voicemails as needed, welcoming on-site visitors and announcing visitors to appropriate personnel.
Other Duties:
Manage & maintain physical office space.
Other duties as assigned.
Qualifications:
1 year customer service experience strongly preferred.
Proficiency with Microsoft Office suite and social media.
Creative problem-solving skills.
Basic math skills which include addition, subtraction, multiplication, division, percentage, fractions and the ability to calculate commissions, interests and discounts.
Ability to communicate with different audiences to convey message successfully and to change gear quickly to support different customers.
Ability to multi-task, prioritize and be flexible with changing business needs in a team environment as well as manage deadlines and time constraints.
