Job Title: Front Office Supervisor
Status: Full-time & Exempt
Job Summary
Works in collaboration with clinic staff and the administrative team to identify, make recommendations and implement best practices for front office processes including planning; staff communications; customer service; systems; training; and scheduling. Manages front office staff by providing administrative support for clinic manager and physical and occupational therapists in the clinic's daily operations. Sets the standard for delivering excellent responsive customer service for our patients and serves as liaison to clinic staff and administrative team.
Duties and Responsibilities:
- Manages front office staff to include hiring, orientation, training, retaining, and goal setting.
- Provides front-line leadership to clerical staff, knows all duties of staff, monitors performance, ensures compliance with policies and procedures, and conducts bi-annual evaluations. Provides coaching and counseling as appropriate.
- Troubleshoots issues with front office staff and provides guidance, support, and follow-up (charts, scheduling, etc.)
- Meets with CM monthly to be the eyes and ears (patient/doctor patterns and function of FO); present solutions issues.
- Provides back up coverage for the front office staff during high volume hours of the day and during absenteeism (vacation/absence/departure).
- Liaison for billing, clinic manager, therapists when necessary.
- Reviews statements and oversees or places orders for front office technical services and supplies (Staples, etc.).
- Delegates the ordering of general office supplies and small office equipment.
- Troubleshoots minor computer and printer issues and set-up and maintenance on copier addresses.
- Distributes pertinent external communication to East staff when needed.
- Creates, modifies, and prints weekly and monthly reports and graphs for front office and therapists.
- Ensures Monthly Safety Calendar is completed in a timely manner.
- Employee orientation and basic clinic knowledge training and departure checklist including maintaining building codes and Rebound-related equipment (keys/codes, etc.).
- Works with CM on needed changes and problem- solving.
Qualifications & Education
- Bachelor’s or Associate’s degree or equivalent of three years office management experience.
- Ability to read and understand insurance/Medicare guidelines. Maintain a working knowledge of insurance regulations and specific coverage for physical therapy.

Physical Requirements and Working Conditions:
Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, strength to lift and carry materials weighing up to 10 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in-person and over the telephone.

Pay: $50,000.00 - $58,000.00 per year
