Job Title: Office Manager

Schedule: Full Time - Hourly
POSITION SUMMARY
Support the office staff in day-to-day administrative duties ensuring the office is supplied and everyone is able to function at the highest level. Supports the COO in their daily professional life to allow them to remain focused on high-level tasks. You will provide administrative support and oversee other projects as needed. This position will handle basic bookkeeping responsibilities as well.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
- Taking meeting notes and maintaining meeting agendas
- Handle requests appropriately and in a timely manner
- Keep the office running smoothly and keeping supplies available
- Make travel arrangements and maintain schedules/calendars
- Coordinates and implements general office services such as appointment-setting, records control, and other administrative activities.
- Assembles and categorizes facts and figures for written computation and calculations
- Oversee special events planning related to the office
- Uses various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports
- Gain knowledge in and effectively utilize various software platforms
- Exercises administrative judgment and assumes responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
- Assist when needed in HR administrative functions
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Bachelor's degree preferred but not required
- Two years of related experience or relevant coursework
- Good oral and written communication skills
- Excellent Microsoft Office and Google Suite skills/experience
- Discretion and confidentiality are a must
- Outstanding organizational skills and a desire to help someone else succeed

- Office parties
- Assist with office culture and perk ideas including work anniversaries and birthdays. Much of this would be proactive as well as creating a schedule of activities
- Help ensure office cleanliness, decor, etc. are well maintained
- Maintain office calendar and relationship with landlord, other external vendors
- Keep minutes of meetings
- Assist Finance and HR contractors with whatever is needed
- Work closely with Shawn to keep him on schedule, handle one-off tasks, manage his calendar
