Job Description
DUTIES AND RESPONSIBILITIES:
Communication:
- Working in partnership with senior leadership of the Company, identify and achieve strategic goals through organization and people by:
- Maintaining HR SharePoint portal content by continually editing, removing, and/or supplementing existing content to ensure that content is fresh, relevant, and searchable
- Developing and executing communications strategies (as requested by leadership) in a timely fashion
- Creating and executing communications calendars across various internal platforms
- Creating quarterly employee newsletter
- Creating and maintaining corporate and employee communications
- Writing, editing and proofreading Reddy Ice communications content
Project Management:
- Manage transactional projects ensuring the projects achieve the overall objectives as set forth in the project plan (e.g., communication, timeline, project reporting, budget, etc.)
Finance:
- Process vendor invoices, including rent, parking bills, contractors, and other facility vendors
- Assist with financial and budget reporting and data analysis
- Continuously seek opportunities to streamline or automate processes and investigate technology solutions
Facilities:
- Manage mail and package distribution and vendors
- Manage parking assignments and OCS security access system
- Handle other facility management duties as needed by acting as the key liaison with property management and contractors
- Plan, organize and execute monthly and quarterly employee events
- Manage and order all facility needs – including ordering office supplies, coffee/cleaning supplies, parking requirements, shredding and record retention, keys and security access, cleaning oversight and special needs with repairs, 5S public space, etc.
EDUCATION AND EXPERIENCE:
- College degree required.
- Minimum of 5 years’ experience in a communication capacity role and minimum of 3 years in a facility, management or project management role.
- Excellent verbal, listening and written communication skills
- Excellent organizational skills
- Exceptional project management skills
- Strong computer skills (Microsoft Suite, including Visio, PowerPoint, Excel, Word and Outlook). Experience with Microsoft Dynamics AX preferred but not required.
- Very high level of organizational skills, time management and attention to detail
- Experience multi-tasking and prioritizing work to meet multiple deadlines
- Comfortable engaging with multiple stakeholders across the business
- Ability to recommend appropriate solutions that enhance processes and procedures
- Willingness to ask questions rather than just follow directions is required
- Competently prioritizes and is flexible working with changing expectations and priorities
- Excellent problem solving and analytical skills, with can-do attitude and self-initiative
- Must demonstrate a self-starting mindset and ability to work independently with minimal supervision, while concurrently flourishing in a team-oriented environment
WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
This position works in a typical office environment, with use of computers, calculators, phones, and other office equipment. Work is conducted in a fast-paced, rapidly changing environment. The ability to manage stress, build professional and collaborative relationships, and reason through complex business situations is essential. Weekend and evening work is occasionally required.
