Job Summary:In collaboration with the Admissions leadership team, the Associate Director of Admissions Events & Campus Visits plays a critical role in the design and implementation of campus visit and event strategies developed to attract and enroll new students to Regis University. Specifically, this position is responsible for architecting, implementing, and evaluating campus visit and event strategies designed to elevate and enhance the university's market position and profile resulting in increased enrollments. The position oversees event planning and logistics, event and campus visit operations, and student employee (Ambassador) supervision.

This position has direct and indirect supervision of staff and students. Some evening and weekend work. Must provide in-person, day-of oversight and management of Admissions events (which may occur in the evenings and on weekends.) The Associate Director is required to maintain current with contemporary enrollment management practices and familiarity with best practice recruitment communication technologies to enhance campus visit and event management.

MAJOR DUTIES and RESPONSIBILITIES:

Campus Visits and Events Management (50%)

The Associate Director participates in the campus visit and event planning process, ensuring event planning is maximized to support overall enrollment strategy. The Associate Director will continually evaluate policies and procedures to ensure that the Office of Admissions is following best practices and developing leading practices while working efficiently with appropriate university partners to advance event and campus visit attendance. As part of this responsibility, the Associate Director will:
  • Provide daily oversight for admissions-specific visits and events.
  • Create, analyze and provide regular reports to Admissions leadership and appropriate staff regarding progress toward established goals and utilize data to calibrate, or recalibrate, future strategy.
  • Choreograph campus visits and events in order to elevate and enhance the experience for prospective students and their families including the overall strategy for large visit days, the daily visit program, off-campus/on-campus events, group visits, etc.
  • Ensure strategies, systems and structures are designed to personalize and customize the visit and event experience while successfully managing day-to-day visit details.
  • Create efficiencies and leverage functionality in the Customer Relationship Management (CRM) system and visit software system to improve all aspects of the visit experience (pre-visit, post-visit).
  • Maintain knowledge and expertise on all aspects of campus visit and event programming and offer perspective and experience designed to continually enhance and elevate recruitment efforts in Admissions and across campus with Regis departments.
  • Prioritize and coordinate programmatic activities and/or projects for Visits and Events and communicate to audiences, stakeholders and end users as needed.
  • Identify emerging problems and implement solutions.
  • Prepare and manage event budgets, ensuring event expenditures are within fiscal scope.
  • Work with Admissions leadership and collaboratively with admissions staff to ensure programs and projects fit within scope of the office, individual school, and University vision and goals
  • Coordinate training for recruitment staff as needed related to event programs and/or projects within area of responsibility.
  • Ensure that event program/project collateral and/or documentation is created and/or updated as needed.
  • Regularly evaluate programs and determine if they should be modified, continued as is or discontinued for upcoming cycle.
  • Serve as a department representative on Regis Event Management (REM) and liaison with Auxiliary Services, along with other assignments as needed.
  • Manage faculty engagement for traditional undergraduate audience. Coordinate participation, provide instruction and follow up with faculty. Evaluate effectiveness of current faculty engagement and identify new opportunities and/or ways to expand on current strategy and tactics.
  • Give the Regis presentation in an enthusiastic and influential manner for weekday visits, group visits and during events.

Supervision and Training (40%)

The Associate Director will hire, train, and evaluate a team of Student Ambassadors and a part-time Graduate Assistant. As a supervisor, the Associate Director will:
  • Prioritize the activities of student employees and Graduate Assistant.
  • Hire, train, schedule and supervise a group of student ambassadors to manage the Office of Admissions events and campus tours.
  • Design and implement staff training (or work with the appropriate designated personnel to do so) and monitor need for ongoing training.
  • Assist student employees in creating goals and professional development opportunities.
  • Provide critical constructive feedback periodically throughout the evaluation period to guide student performance.
  • Recommend changes in position descriptions and/or organizational reporting lines as needed.

Recruiting/Communications (5%)

In this role, the Associate Director will:
  • Participate in on-campus programs for prospective students and families
  • Provide information to prospective students and families via phone, email and written correspondence.
  • Recognize the impact of communication opportunities and effectively guide and shape the development, delivery and timing of messages to maximize visit and event attendance; review printed materials related to visits and events; approve presentation content.

Other Duties as Assigned (5%)
  • Other responsibilities as assigned by the Dean of Admissions and Admissions leadership team.

MINIMUM REQUIREMENTS:

Education:

Bachelor's degree, from an accredited institution of higher education.

Preferred Experience:
  • Three to five years of related experience coordinating events and/or working in college admissions
  • 2 years of supervisory experience

Work Schedule: Monday-Friday, 8:30am-5pm with some evenings and weekends required

FTE: 1.0

Pay Rate:Up to $65,000/year commensurate with experience
