We are growing and are seeking a personable, professional, and dedicated Accounting and Payroll Administrator who can successfully fulfill the position responsibilities below:
ACCOUNTS PAYABLE AND RECEIVEABLE DUTIES
1. Reconcile, prepare, post, and verify all accounting transactions in the ledger.
2. Make sure all outgoing payments have had the proper procedure followed and are authorized.
3. Ensure accurate documentation and receipt of purchased goods before issuing payment.
4. Maintain AP records and investigate any discrepancies between vendors and Company records.
5. Research and respond to any vendor requests for payment.
6. Identify potential areas for savings and alert management to areas where there is waste.
7. Ensure all expenses are coded to the appropriate account.
8. Schedule payments for bills to make sure they are paid in a timely manner.
9. Create and issue client invoices in a timely manner.
10. Receive incoming invoice payments and process accordingly.
11. Collect delinquent payments as necessary.
12. Create and provide AP and AR reports as needed.
13. Cross train with other members of the business office to ensure appropriate coverage.
14. Other work duties as assigned by management.
PAYROLL COORDINATION DUTIES
1. Process timely bi-weekly payroll via PayrollHUB, create the payroll journal entry and post it in the designated accounting software.
2. Publish annual payroll schedule to non-exempt staff; ensure timecards are submitted on time.
3. Audit timecards (electronic or manual) for overtime and meal period policy and pay compliance, as well as all other requirements.
4. Research and resolve payroll errors.
5. Verify expense reimbursement requests.
6. Ensure that benefit withholdings, deductions, etc. are accurate.
7. Maintain compliant payroll records for audit and other purposes.
8. Create and provide payroll reports as needed.
9. Answers employee related payroll questions as needed.
DO YOU:
· Have at least 5 years of related experience with AP, AR, and Payroll?
· Have computer skills including Microsoft Office (emphasis on Excel), Internet, and the ability to learn in-house computer platforms?
· Have bi-lingual skills (English/Spanish)? – a plus!

Success in this position relies heavily on reporting to work daily, on-time, and staying for the entire work period.
