Summary:
We are seeking a proactive and organized Office Manager to oversee daily operations and manage a dynamic team. Responsibilities:
- Manage and supervise a team responsible for handling a high volume of inbound calls, ensuring exceptional customer service standards are consistently met.
- Assist in sales and marketing activities to support service schedule growth, including customer outreach and relationship management.
- Coordinate administrative activities such as accounts receivable and payable, invoicing, and financial record-keeping.
- Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Assist with payroll processing, budget tracking, and financial record-keeping.
- Ensure seamless daily operations by overseeing scheduling, task allocation, and workflow management.
- Monitor team performance and provide coaching and guidance to ensure targets and job functions are consistently met.
- Handle employee relations matters, including performance reviews, training, and disciplinary actions as needed.
- Collaborate with senior management to implement policies, procedures, and strategies to improve overall office productivity and customer satisfaction.
- Maintain a safe and secure working environment by enforcing company standards and procedures.
Requirements:
- Proven experience with 10 years in office management, preferably in a fast-paced environment with a focus on customer service and team leadership.
- Strong organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively.
- Excellent communication and interpersonal skills to interact effectively with customers, team members, and senior management.
- Proficiency in Microsoft Office Suite and experience with office management software (e.g., ERP systems, CRM software).
- Knowledge of financial processes such as accounts receivable, payable, and basic accounting principles.
- Ability to adapt quickly to changing priorities and maintain a positive attitude under pressure.
- Leadership qualities including coaching, mentoring, and motivating a diverse team.
- Bachelor’s degree in Business Administration or related field preferred, but not required with proven work experience.
